Job Description:

As an office manager you will be asked to do just about everything outside of adjusting patients! You will be required to perform in-office duties including answering phones, patient education/consults and exams, entering notes/documents, verifying insurance, patient billing, auditing account and managing the team, between events and some marketing duties. Our team is mission minded and eager to serve in order to find the next person who needs hope and healing through neurologically based chiropractic care. Daily Responsibilities Include:

  • Patient/Team Interaction: Interacting with and creating meaningful connections with a wide variety of people, personalities, and moods every day. You will be at the front desk.
  • Patient Account Management: Keeping track of payment plans and insurance processing, running reports and auditing accounts, taking payments and managing declined payments, data entry, follow up calls, rescheduling appointments, answering phones, etc.
  • Operational Oversight: Manage and lead daily office operations, ensuring smooth workflows and addressing any issues that arise. This is a managerial role that reports directly to the Owners.
  • Insurance Processing: Co-managing insurance processing with our insurance billing team. Keeping track of payments, making sure accounts are processing as expected, informing patients of coverage and declined coverage, etc.
  • Monitoring Practice Goals: Track key performance indicators and metrics related to practice growth, identifying areas for improvement.
  • Marketing: Assisting with community outreach and marketing events (development, organization, and execution of), promoting current internal marketing goals (asking for referrals, encouraging patients to enter giveaways, etc.)
  • Resource Management: Oversee inventory, supplies, and equipment to ensure availability and optimal usage.

Required Experience:

  • Strategic Planning and Implementation: Experience in developing and executing strategies that led to measurable growth. Ability to identify opportunities for business development and implement effective solutions.
  • Operational Management: Prior experience in managing day-to-day office operations with a focus on scalability and process optimization. Experience should include handling administrative tasks, staff supervision, and resource management.
  • Client/Customer Relations: Proven track record of enhancing client/customer satisfaction and retention through effective communication, service improvement, and relationship management.
  • Team Leadership: Experience in leading and motivating a team, including training and performance management, with an emphasis on fostering a growth-oriented culture.

Schedule:

Monday: 8-1pm, 2-6pm

Tuesday: 6-1pm

Wednesday: 8-1pm, 2-6pm

Thursday: 6-1pm, 2-5:30pm

Friday: At home as needed. Duties include monitoring phones and emails and finishing up any additional paperwork for the week.

Some weekend work helping out with various marketing events in the community.

Pay & Benefits:

  • Starting at $45,000/year
  • Free chiropractic care for you, your spouse, and your child(ren)
  • Paid office closures (one paid week in July and one in December) PLUS additional PTO for dates of your choice
  • Health Reimbursement Account (HRA) after one full year of employment

Other musts:

  • Must be comfortable working with people every day - this job is NOT remote
  • Must be able to travel up to 2 times per year for training by plane and/or car
  • Must have your own form of transportation
  • Must be comfortable with computers and technology
