Position Title Construction Operations Administrative Assistant
Reports To Operations Manager
Location Hebron Ohio Office
Position Type Full Time, Ideal hours are Mon to Fri from 6:30am to 3:30pm
Pay Rate $20.00 - $25.00 per hour
We are seeking a motivated and detail-oriented Administrative Assistant to join our dynamic team. The successful candidate will support both the Operations Manager and the Warehouse Manager with fleet operations, warehouse activities, and administrative tasks. This role is crucial in ensuring the smooth and efficient functioning of construction operations.
Essential Functions & Duties
- Fleet Management
- Assist in scheduling and coordinating fleet maintenance and reports.
- Maintain accurate records of vehicle inspections, registrations, and insurance.
- Monitor and track vehicle usage, mileage, and fuel consumption.
- Assist in procurement of new vehicles and equipment as needed.
- Other duties as assigned.
- Warehouse
- Support the warehouse manager in overseeing the daily activities.
- Assist in inventory management, including receiving, storing, and distribution of materials and equipment.
- Conduct regular inventory audits and reconcile discrepancies.
- Ensure the warehouse is organized, clean, and compliant with safety regulations.
- Other duties as assigned.
- Operations
- Assist Field Crew with timecards, administrative issues.
- Load new jobs into inventory master list for subcontractors.
- Collect receipts from Field Crew and work with accounting to process.
- Attend weekly safety meetings.
- Submit subcontractor forms, update master list, monitor for expired or unapproved status and be a contact for subcontractors.
- Track temp employee timecards and submittals
- Administrative Tasks
- Perform general administrative duties such as data entry, filing, and document management.
- Assist with invoicing.
- Prepare and maintain reports, spreadsheets, and other documentation.
- Assist in coordinating and scheduling meetings, training sessions, and other events as needed.
- Handling incoming and outgoing communication, including phone calls and emails.
Required Skills
- Proven experience in a warehouse, logistics, or administrative role is a plus.
- Strong organizational and multi-tasking skills
- Strong computer skills are a must.
- Proficient in all Office suites (Word, Excel, and Outlook)
- Excellent communication skills.
- Ability to work independently in a fast-moving environment.
- Familiarity with fleet management software or the ability to quickly learn.
- Attention to detail and a commitment to accuracy
Physical Requirements
- Ability to lift and move items up to 50 pounds.
- Prolonged periods of standing, walking, and working in a warehouse environment.
- Ability to operate warehouse equipment such as forklifts or pallet jacks. (certification or the ability to learn and become certified).
Standards & Measurables (KPI’s)
- Inventory accuracy should match actuals.
- Fleet maintenance compliance should be completed on time.
- Administrative tasks should be completed within set deadlines.
- Data entry accuracy
- Inventory turnover should be calculated on use vs replenishment
- Safety Incident reporting should be completed with the safety director.
- Vehicle utilization rates should be tracked.
- Response time should always be kept to a minimum.
- Cost savings should always be at the forefront of the process without compromising quality.
