Role Overview
The Compliance & Operations Associate is a key member of our team, responsible for ensuring that our operations align with legal and regulatory standards, client requirements, and internal policies. The Compliance & Operations Department aims to mitigate risks, maintain transparency, and build trust among our clients, suppliers, and stakeholders by demonstrating a commitment to legal and ethical conduct. Major initiatives of the department and role include corporate responsibility, client audits, ESG/sustainability, business continuity planning, client/supplier procurement, data handling/privacy & security, pharmacovigilance reporting, etc. This role reports directly to the Senior Manager of Compliance & Operations. This role requires at least 50% in-office based out of the Newton, MA office.
This role involves meticulous data entry, monitoring and tracking, assisting with audits, and maintaining thorough documentation and records. The ideal candidate will have a strong attention to detail, excellent organizational skills, and a commitment to sustainability and compliance.

- Data Entry
- Accurately enter, update, and maintain various types of data in company databases and systems
- Manage and organize large datasets to ensure data integrity and accessibility
- Perform regular data quality checks and reconcile discrepancies
- Monitoring and Tracking
- Oversee the tracking and monitoring of training programs to ensure all staff are up to date with required knowledge and skills
- Monitor and document adverse events, ensuring prompt reporting and resolution
- Track key performance indicators (KPIs) to measure compliance and operational effectiveness
- Reconcile various data sets to ensure accuracy and completeness
- Communication and Reporting
- Prepare compliance reports for Senior Manager of Compliance & Operations
- Communicate compliance issues and updates to relevant stakeholders
- Assisting with External and Internal Audits
- Assist in preparing for and conducting external and internal audits
- Gather and organize necessary documentation to facilitate audit processes
- Collaborate with auditors to address any findings or discrepancies
- Documentation and Record Keeping
- Maintain organized and comprehensive records of all compliance-related activities
- Ensure that all documentation is up-to-date, easily accessible, and compliant with regulatory requirements
- Bachelor’s degree in Business Administration, Healthcare Policy, or Pre-law
- Detail-oriented, with experience balancing multiple tasks and deadlines
- Strong communication and interpersonal skills
- Adheres to office professionalism and able to speak appropriately to individuals of all tenures
- Proficient in Microsoft Office Suite: Outlook, Excel, Word, etc.
