What are the responsibilities and job description for the Psychiatric Practice Manager - TMS/Spravato Clinic position at Clearwave Mental Health?
This position will offer the opportunity to grow and manage a psychiatric practice specializing in Spravato and Transcranial Magnetic Stimulation ("TMS"), a breakthrough treatment modality for the treatment of depression at our location in Middletown, NY in the Hudson Valley region.
The Practice Manager will oversee and manage the administrative and certain clinical aspects of the business. With regards to administration, the Practice Manager will conduct patient intakes for prospective patients, educate prospective and existing patients regarding Spravato/TMS treatment, submit prior authorization for treatment on behalf of patients, and connect with local physicians and practitioners in the area to build referral sources. With regards to clinical, the Practice Manager will learn to administer Spravato/TMS treatment to patients; hire, train, and manage Spravato/TMS technicians; oversee clinical care of Spravato/TMS patients and be the liaison between the psychiatrist and the patients – including completing weekly rounds with the psychiatrist. The Practice Manager will be trained by our existing team and Medical Director on all aspects of Spravato and TMS.

Minimum/Preferred Qualifications and Experience:
- Bachelor’s Degree is required
- Two or more years of experience in a customer or patient-facing role is preferred
- Two or more years of project, program, or employee management experience is preferred
- Experience in a health care setting with direct patient care is preferred
- Proficiency with Microsoft Office is preferred
Responsibilities:
- Become certified to administer (we provide all necessary training) and thereafter administer TMS treatments and Spravato treatments
- Involved in weekly clinical rounds with prescribing psychiatrists and periodic clinical rounds with the Medical Director.
- Ensure compliance and adherence to the clinical standards of care.
- Assist in the TMS/Spravato training and certification of new prescribing psychiatrists.
- Hire, train, and manage TMS/Spravato Technicians, and their schedules, and ensure proper coverage for patient TMS/Spravato treatments.
- Conduct one-on-one meetings with TMS/Spravato Technicians and year-end performance reviews. Discipline and terminate staff as needed.
- Meet KPIs and ensure overall success of the practice location. Meet with executive team to discuss strategies to ensure profitability.
- Answer incoming calls to educate prospective and incoming patients regarding TMS/Spravato treatment.
- Track incoming patient leads and coordinate patient authorization approval process.
- Schedule patients, coordinate new patient appointments and follow up visits.
- Schedule and write patient notes in EMR system.
- Work with insurances on necessary prior authorization of treatment and claims submission.
- Create, manage, and foster a referral network with local providers.
- Responsible for general office needs including supply ordering, office management needs, etc.
- Responsible for patient outreach for past patients to ensure care coordination after treatment.
