The Document Support Operator plays an integral role in supporting office and building services. The Document Support Operator provides broad administrative support through communication drafting, meeting coordination and special projects. The Document Support Operator will also be responsible for managing copy, print, and scan jobs from beginning to end and distributing to the proper recipients. This individual is personable, responsive, and proactive with a strong work ethic and ability to effectively prioritize multiple projects and assignments. The role centers around strong writing and communication skills, keen attention to detail, ability to lift and move objects of up to 50 lbs., and excellent customer service skills.
Position: Nonexempt
Regular Hours: 7:00 am - 3:00 pm Monday - Friday, with occasional weekends and hours outside of normal business hours required
Reports to: Office Operations Manager
Responsibilities
- Setup, operate, and maintain duplicating jobs including
- Copy, print, scan
- Bind documents according to instructions, including stapling, spiral binding, wire binding, and velo binding
- Large format print, trim, and/or laminate jobs
- Perform quality control checks to ensure accuracy in work product; use discretion in prioritizing work as necessary
- Monitor paper stock levels, manage the ordering of supplies, and ensure adequate toner availability and other copying materials.
- Interface with the Graphics Service representative, and/or departments to ensure a complete understanding of print orders; receive and output digital files for use in completion of work request
- Monitor and response to customer requests and inquiries using ticketing system
- Manage multiple jobs efficiently while maintaining a high level of quality and detail
- Pick up and deliver documents, packages, etc. for the firm in a timely manner
- Perform document specialized projects to client specification and firm standards
- Other duties as assigned
Qualifications
- High school diploma or equivalent
- Experience in law firms preferred
- Ability to communicate and work with all levels of firm personnel
- Exhibits a strong attention to detail and ability to thoroughly complete tasks with minimal direction
- Demonstrates a strong work ethic and “can-do” attitude
- Is flexible and adaptable to changing priorities
Skills and Abilities:
- Technology: Proficient in the technology and software used at the firm. This includes, but is not limited to, Microsoft Office Suite, time entry software, Outlook, Workday, iManage and Cleary360
- Communication: Is able to receive, process and deliver accurate verbal and written messages in the correct manner, chooses the appropriate communication style for the situation and conveys information clearly, concisely and logically
- Service Orientation: Actively listens, anticipates and proactively attends to team members’ and other employees’ needs in more than just a transactional way, is knowledgeable of where to direct questions/concerns, works well under pressure and is able to prioritize competing requests
- Interpersonal skills: Is approachable, dependable, collaborative and professional. Works well in a team oriented environment and is able to leverage resources and tools to accomplish tasks
- Physical abilities: Ability to lift and move objects up to 50 lbs. in weight
The estimated base salary range for this position is $40,000 to $45,000 at the time of posting. The actual salary offered will depend on a variety of job-related factors, including skills, education, training, credentials, experience, scope and complexity of role responsibilities, geographic location, and performance. This role is non-exempt meaning it is overtime pay eligible.
