The position reports to the Client Account Resources Manager and assists in all phases of client billing including bill preparation, submission, follow-up and communication with clients and partners related to bill preparation and submitted bills. As part of a team of Analysts and Senior Analysts, this position supports the firm’s Client Account team with administrative and analytical billing tasks, which require strong organizational, communication, and interpersonal skills.
Responsibilities
- Drive the billing and collection process to ensure accurate and timely invoicing and payment of clients for assigned partners, practice groups, and/or offices.
- Direct teams to follow-up on underpayments and help with resolution, as needed.
- Update key finance reports (e.g., projection amounts, clear and concise billing or AR comments) daily, to ensure timely and quality reporting for Senior Management.
- Strong understanding of billing processes and ensure timely and accurate billing and collections.
- Escalate any billing or collection issues or delays to Client Account Manager.
- Respond to billing and AR inquiries. Preparation of bills, including narrative descriptions, transfers and on account applications, with strong attention to detail and proofreading.
- Review timekeeper diaries and costs for compliance with client/vendor terms, including the processing of corrections as needed to minimize delays in uploading or rejection of the client invoices/e-bills.
- Process edits to diaries based on attorney updates.
- Assist in submission and coordination of client invoice/e-bills to client and third party e-billing vendor websites utilizing e-billing templates and other software tools.
- Assist in the preparation of accruals of unbilled time as requested by client contacts.
- Responsible for regular monitoring of bill processing status and other necessary follow up to ensure successful processing and timely payment to the firm.
- Follow-up on and resubmit rejected e-billing invoices.
- Participate in the review and monitoring of client billing arrangements, confirm client billing address and other key matter information maintained in the firms New Matter Intake System (requires collaboration with other members in Finance).
- Assist with outstanding Accounts Receivable communications and compile necessary data to facilitate client follow-ups.
- Respond timely to analysis and information requests
- Special projects, as assigned.
Qualifications
- Bachelor’s degree required.
- 1-2 years of corporate experience, professional service experience.
- Knowledge of legal billing or collections or experience working in legal billing software (e.g. Aderant Expert) a plus.
- Proficient utilizing Microsoft Excel and Word.
- Detail-oriented, self-starter; must be able to manage multiple, competing deadlines and prioritize work accordingly.
- Excellent reading comprehension, writing, organizational and communication skills.
*The estimated base salary range for this position is $75,000 to $85,000 at the time of posting. The actual salary offered will depend on a variety of job-related factors, including skills, education, training, credentials, experience, scope and complexity of role responsibilities, geographic location, and performance. This role is non-exempt meaning it is overtime pay eligible.
