What are the responsibilities and job description for the PROCESSING ASSISTANT IV position at Cleveland County?
The primary purpose of this position is to provide clerical support to the entire DSS agency and related work as apparent or assigned. Work is performed and supervised under the supervision of the Administrative Assistant I/ Clerical Supervisor. The normal work schedule includes Monday through Friday from 8:00 a.m. until 5:00 p.m.
KNOWLEDGE, SKILLS AND ABILITIES:
This position requires considerable knowledge of office procedures; the ability to practice effective communication techniques, both orally and in writing; the ability to analyze and interpret and explain policy and procedural guidelines and to resolve problems and questions; the ability to answer inquiries independently and coordinate a variety of resources in acquiring information.
ESSENTIAL FUNCTIONS:
Prepare monthly reports including FTI, DOC match reports, cash flow logs, monthly statistics for the clerical unit.
Receipt of all incoming payments for Program Integrity (mail and in person)
Prepare daily deposits of all incoming cash.
Serves as the clerical lead worker which includes cross training and coverage of all areas within the unit as needed due to staffing.
In the absence of the Administrative Assistant I / Clerical Supervisor, acts as the unit contact and coordinates all schedules and staffing coverage.
Serve as the clerk to the DSS Advisory Board. This includes preparing and distributing monthly board packets, taking minutes during meetings, and communication with board members as requested by the Director.
MINIMUM EXPERIENCE & EDUCATION:
Graduation from high school and at least two years of clerical experience or equivalent combination of education and experience.
PHYSICAL REQUIREMENTS:
This work requires the occasional exertion of up to 10 pounds of force; work regularly requires sitting, speaking or hearing and using hands to finger, handle or feel, frequently requires repetitive motions, and occasionally requires standing, walking and reaching with hands and arms; work has standard vision requirements; vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels, work requires operating machines and observing general surroundings and activities; work is generally in a quiet location (e.g. library, private offices).
