What are the responsibilities and job description for the Patient Intake Coordinator position at Cleveland East Vascular Care?
(Parttime) PRN Float pool - MUST be willing to travel to Beechwood, Westlake and Akron
Position Summary: In this position you will be responsible for greeting and registering all patients and visitors that come into the Vascular Center setting. The intake coordinator works closely with all personnel in the center to ensure accurate communication is maintained within the center with regards to scheduling of patients and procedures.
Essential Duties and Responsibilities:
- Keeping and maintaining a schedule on a daily basis
- Responsible for all patient information being ready and available according to the schedule on a daily basis
- Responsible for the lobby appearance and material contained in the lobby
- Friendly and professional greeting of all patients, and visitors
- Daily phone duties include answering telephones, confirmation of appointment, liaison with referring facility and other needs as determined by staff, manager or MD
- Develops a good working relationship with dialysis units, nephrologists, and other referring agents in order to assist in coordination of care, including transportation arrangements as needed
- Responsible for requesting and obtaining appropriate information from the referring facility in order to safely and appropriately treat patients in the center
- Responsible for checking all patient chart information to ascertain information is current and accurate with forms, chart stickers, and information as needed
- Responsible for preparation of all new patient charts and responsible that all new paperwork is properly inserted into the patients record
- Responsible for obtaining copies of all insurance cards and picture ID on new patients and confirming insurance information on existing patients
- Works with insurance company to obtain valid referrals as needed
- Responsible for valid referrals on all patients.
- Responsible for collecting co pays and past due balances at check in and full amount for self pay at check out
- Responsible for monitoring patient flow by notifying staff of check in as appropriate
- At check out, responsible for ensuring patient has all needed paperwork as well as a follow up appointment as indicated
- Marks schedule for no shows and reschedules as appropriate
- Maintains a daily patient roster and completes daily reports
- Responsible for faxing reports as needed to dialysis units or physician’s offices
- May need to distribute mail
- Responsible for ordering and maintaining office supplies and equipment
- May need to assist the clinical staff in obtaining necessary data for required reports
- Qualifications:
- Basic medical terminology and knowledge of medical specialties and insurance is required
- Strong organizational skills with the ability to multi task
Education/Experience: High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.
Computer Skills: To perform this job successfully, individual will knowledge of business office procedures and will have intermediate computer skills and experience with Electronic Health Record (EHR) is a plus.
