Client Care Coordinator

Behind the scenes, our talented CCCs are the heart and soul of our services, partnering with every team at our agency to facilitate a seamless experience for our clients.

Reports To: Business Manager
Location: All CHSC Locations
Major Duties and Expectations of Client Care Coordinator
- Completes intake for Audiology and Speech-Language Pathology (SLP) clients and maintains accurate records in the Office Management System (OMS) system (Counsel Ear)
- Verifies insurance coverage, authorizations, and approvals.
- Verifies referral authorization requirements.
- Tracks authorized visits.
- Collects and posts charges and payments to account at the time of the visit.
- Reconciles discrepancies.
- Collects co-pays and fees.
- Ensures client paperwork is current and is uploaded to the OMS system.
- Appeals insurance denials of service.
- Creates bank deposit slips and deposits payments to the bank on a regular basis
- Investigates and resolves discrepancies
- Provides administrative support to clinical staff and other CHSC employees as needed:
- Greets visitors, clients, etc., and directs to appropriate staff.
- Answers incoming telephone calls.
- Schedules Speech-Language Pathology (SLP) and Audiology appointments.
- Orders office supplies.
- Obtains, sorts, and delivers office mail.
- Types, files, faxes, etc. data and information as requested.
- Maintains client files in a prompt and orderly fashion.
- Handles shipping and receiving of hearing aids and other small equipment.
- Perform daily calibration checks of audiology equipment
- Oversees office facilities:
- Arranges for the opening and closing of the office ensuring proper security is maintained.
- Contacts Facilities Supervisor regarding maintenance of physical premises.
- Contacts IT / tech support regarding hardware/software issues.
- Contacts vendors for malfunctioning office equipment.
- Maintains petty cash
- Other duties as requested by supervisor.
Preferred Education/Experience/Skills
- A 4-year degree in a healthcare related field or its equivalent in experience (3-4 years working in a medical office)
- Commitment to an excellent customer experience
- Strong organizational and interpersonal skills (verbal and written)
- Ability to multi-task and follow a task through to completion with multiple distractions.
- Computer competency in Microsoft Office Suite
Job Type: Full-time
Pay: $20.50 - $21.50 per hour
