As an Administrative Specialist, you will manage and oversee office operations, enabling the Manager and department staff to perform their roles effectively and efficiently.
We are looking for a candidate with a positive attitude, excellent communication skills, a proactive approach, and a strong work ethic. Proficiency in Microsoft Office, ADP, and Munis software is preferred. The ideal candidate will take initiative, manage office operations with precision, and provide dependable support to the Manager and team members.
Key Responsibilities:
- Budget Management: Track expenses, reconcile budgets, process invoices and purchase orders, and ensure compliance with budgetary guidelines.
- Monitor Workflow: Monitor project progress, maintain schedules and calendars, and manage work-related databases.
- Clerical Support: Schedule meetings, prepare correspondence and reports, organize filing systems, and proofread documents.
- Payroll Coordination: Review and process timesheets, submit payroll data, and track employee leave balances.
- Grant Administration: Manage grant compliance, submit reimbursement requests, and track expenses for accuracy.
- Arrange travel and lodging for conferences, track expenses, and complete required documentation.
- Maintain research and collection permits and ensure insurance certificates are current.

- Regular and predictable attendance is expected and required. All Cleveland Metroparks employees must be prepared to work flexible schedules, including evenings, weekends, and/or holidays as required.
- Keeps direct supervisor promptly informed of key/significant issues or concerns.
- Carries out duties and responsibilities in a safe and efficient manner to maintain a safe work environment and surrounding area for oneself, co-workers and public. Responds to hazardous situations and/or potentially unsafe conditions by taking corrective action as capable and promptly notifying supervisory personnel.
- Updates and enhances own knowledge by involvement in continuing education for professional growth (i.e., attends relevant conferences, seminars, in-service trainings, and certification programs).
- Performs related duties as assigned or apparent.
Education and Experience: High School Diploma or GED required, with at least 2 years of administrative support experience.
Skills: Proficiency in Microsoft Office programs, excellent organizational and communication skills, and the ability to manage confidential information.
Other Qualifications:
- Must possess and maintain a valid driver's license under the laws of the State of Ohio.
- Ability to develop and maintain effective working relationships with stakeholders including contractors and the general public.
- Ability to speak and write clearly, concisely and persuasively using correct grammar, spelling and punctuation with ability to communicate one-on-one or in group settings.
- Ability to perform work with a high degree of accuracy and organization.
- Management skills and strong business acumen, including problem solving, vision, ability to manage multiple programs and meet deadlines, collaboration, leadership, decision making and ability to analyze diverse facts and develop clear and concise reports and recommendations.

Salary: $18.99 - $20.50 per hour (Internal equity considerations and the average salary of the peer range will be reviewed/considered before making a final offer)
Work Days: Days and hours can be flexible with a maximum of 28 hours per week.
