MOUNTAIN REGION OPERATIONS COORDINATOR
JOB TITLE: Mountain Region Operations Coordinator
WORK AREA: Mountain Region Sales Office

REPORTS TO: Reports to: Mountain Region Real Estate Operations Manager
JOB CLASSIFICATION: Salary, Exempt
JOB SUMMARY: The Full-Time Operations Coordinator will serve at the initial point of contact for the Mountain Region sales office Monday through Friday, and occasional Saturdays, as needed. He/she will help oversee the Mountain Region sales phone line, greet clients, complete weekly fulfillment mailings, provide administrative support to the Operations Manager and Sales and Marketing Support Specialist, and assist in lead rotation via phone calls, email, and walk-ins. Also, he/she will assist the Office Manager with inventory control of the comfort station and general supplies for the office. Additional administrative duties include working the main phone line and providing administrative support to the Sales Executives.
JOB DUTIES:
- Answer all incoming calls in a professional and pleasant manner.
- Greet all guests entering the sales office in a timely and personable manner.
- Work alongside the Office Manager and other team members in all sales regions regarding lead rotations and sales tours.
- Manage and complete fulfillment requests assigned in PropertyBase.
- Document all pertinent prospect activity within PropertyBase.
- Impartially distribute lead rotation for the sales office, including call-ins, walk-ins and electronic leads.
- Ensure Sales Executives are in the office when they are on point.
- Manage and schedule Cliffs Realty home showings.
- Assist with welcome packets as needed.
- Assist in real estate listing photography management, if needed.
- Provide MLS administrative support for Operations Manager and Sales Executives for listings and sales tours.
- Work with Sales and Marketing Support Specialist to answer main phone line and efficiently handle new lead rotation for all three sales offices when requested.
- Assist and support MRS in pulling database lists requested by Marketing, as well as database cleanup, maintenance and auditing, as needed.
- Create and update reports and dashboards that meet stakeholder requirements and conform to SOPs for naming conventions and access as needed by the Sales and Marketing Support Specialist.
- Work with the Sales and Marketing Support Specialist to perform data exports for direct mailing, external reporting, and projects based on requirements, as needed.
- Perform scheduled data audits and reports results to the Director of Sales and Marketing Database Systems in conjunction with the Sales and Marketing Support Specialist.
- Serve as a power user of business systems utilized by the sales team including Dotloop
- Manage content of all email templates utilized by sales to ensure accuracy.
BACKGROUND/EXPERIENCE:
- High School Diploma Required.
- Professional phone skills with excellent customer service.
- Excellent communication skills (oral and written).
- Proven experience with MS Office products to include Word, Excel and Outlook.
- Intermediate to Advanced knowledge of Excel.
- Strong technical skills and mindset to leverage database systems software.
- Experience in Dotloop and PropertyBase (Salesforce) preferred.
- Ability to organize, prioritize, meet deadlines and multi-task.
- Ability to work in a team-oriented, fast-paced environment.
- Real estate admin experience preferred.
- Proficient in PropertyBase and Greenville MLS preferred.
PHYSICAL REQUIREMENTS:
- Must possess mobility to work in a standard office setting and to use standard office equipment, including a computer, stamina to maintain attention to detail
- Strength to lift and carry files weighing up to 10 pounds
- Vision to read printed materials and a computer screen, and hearing and speech to communicate in person and over the telephone.
