Clinvet USA is a global veterinary contract research organization (CRO) that conducts in vitro, preclinical, and clinical trails to evaluate animal health products' safety, metabolism, and efficacy. Primary Job Purpose:
As the Assistant: Office Administration you will provide effective and efficient, administrative, financial, human resources services enabling good management of the company while fostering a healthy, safe, and productive work environment for employees. You will support the manager to ensure proper flow of office procedures as well as support the management team by carrying out common office duties.
Job Specific Duties and Responsibilities:
- Process supply ordering and assist with inventory management.
- Support the process of accurate and timely vendor payments.
- Review and reconcile monthly credit card statements.
- Assist with the coordination of new employee onboardings.
- Assist in the coordination of guest and employee business travel, including the booking of reservations for flights, cars, hotels, etc.
- Coordinate and arrange employee engagement activities such as the summer picnic, Christmas party, and smaller events throughout the year.
- Manage reception duties including answering the phone, signing in/out visitors, and responding to general queries.
- Handle incoming mail and distribute to relevant departments efficiently.
- Act as employee contact for IT issues by coordinating solutions under the guidance of the remote IT team.
- Maintain the cleanliness and upkeep of the office space, ensuring a tidy and welcoming environment for employees and visitors.
- Assist with all other duties as assigned by the line manager.
Qualification and Experience Requirements:
- Minimum of 2 years of relevant experience.
- High school diploma or equivalent required.
- Preferred associate's degree in business administration, accounting, or related field.
- Excellent computer skills in Microsoft Suites must include knowledge of Excel.
- Experience in accounting system Xero and/or HRIS Bamboo is a plus.
