We are currently seeking an experienced Executive Assistant to provide high-level administrative and operational support and manage office functions to ensure smooth day-to-day operations.
Key Roles and Responsibilities:
- Provide comprehensive administrative support, including managing schedules, coordinating meetings, and handling correspondence.
- Oversee daily office operations, including maintaining office supplies, coordinating facility management, and ensuring a professional work environment.
- Manage and prioritize tasks assigned to team members, ensuring timely completion and alignment with company objectives.
- Manage travel arrangements using the Defense Travel System (DTS) in compliance with Joint Travel Regulations (JTR).
- Act as the primary point of contact for internal and external stakeholders, ensuring clear and efficient communication.
- Prepare, review, and distribute reports, presentations, and other documents as needed.
- Schedule and coordinate meetings, prepare agendas, and record minutes.
- Identify issues and recommend solutions to enhance operational efficiency.
- Handle sensitive information with discretion and maintain confidentiality at all times.
Skills and Qualifications:
- Education: High school diploma or equivalent; Associate's or Bachelor's degree in Business Administration or related field preferred.
- Experience: Minimum of 3–5 years of experience supporting executives in an Executive Assistant capacity.
- Technical Proficiency: Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook) and SharePoint.
- Travel Management: Experience with the Defense Travel System (DTS) and Joint Travel Regulations (JTR).
- Communication: Excellent verbal and written communication skills, with the ability to engage effectively with all levels of management.
- Customer Service: Strong customer service, organizational, and interpersonal skills.
- Attention to Detail: High level of attention to detail and accuracy.
- Organizational Skills: Proven ability to manage multiple tasks and shifting priorities effectively.
- Problem-Solving: Strong analytical and problem-solving abilities.
