Job Description:
As the Dental Office Business Administrator at Arlington Smile Design, you will be responsible for overseeing the day-to-day administrative and business operations of our dental office. You will collaborate with the dentist, dental hygienists, and dental assistants to ensure a smooth, efficient, and patient-centered experience. This position requires dental office experience and a strong background in office management.
Key Responsibilities:
- Front Desk Operations:
- Greet patients and manage check-in/check-out procedures.
- Schedule and confirm patient appointments.
- Answer phones and manage patient inquiries.
- Collect and verify patient insurance information, billing, and payment.
- Ensure that patient records are updated and accurate.
- Administrative Support:
- Maintain and organize patient records, dental charts, and documents.
- Handle patient billing, insurance verification, and payment processing.
- Manage office inventory, ordering supplies and equipment as needed.
- Coordinate with dental providers and staff for scheduling and treatment plans.
- Implement and manage office policies and procedures.
- Ensure the office is fully stocked and operational at all times.
- Provide leadership and mentorship to the dental team, maintaining a positive work environment.
- Assist with patient follow-up and treatment reminders.
- Financial Management:
- Oversee patient billing, insurance claims, and collections.
- Prepare and manage office budgets.
- Assist with payroll and staff compensation.
- Compliance and Regulatory:
- Ensure that the practice complies with all healthcare regulations, including HIPAA.
- Assist with managing OSHA, infection control, and dental safety procedures.
- Stay updated on dental industry best practices and regulations.
Requirements:
- Must have prior experience working in a dental office (at least 2 years).
- Strong understanding of dental office operations, including front desk duties and office management.
- Knowledge of dental insurance, billing procedures, and patient management systems.
- Excellent communication skills and a friendly, patient-centered approach.
- Strong organizational skills and attention to detail.
- Ability to lead a team and manage office operations efficiently.
- Ability to handle confidential and sensitive information with discretion.
- Proficiency with dental practice management software (e.g., Eaglesoft, Dentrix, or similar systems) preferred.
