THE ROLE
Job Title: Executive Administrative Assistant
ESSENTIAL RESPONSIBILTIES
Administrative functions:
➢ Provides administrative support to the General Manager and other key leaders, screening callers and arranging appointments, meetings and conferences as directed.
➢ Assists with on-boarding, off-boarding, and payroll process.
➢ Assists with Accounts Payable and Accounts Receivable and cash management.
➢ Must have sound knowledge and ability in business correspondence and an ability to proofread for grammar, spelling, and punctuation with a high degree of accuracy.
➢ Organize office operations and procedures.
➢ Organizational ability to set priorities, organize workload, handle multiple responsibilities and meet deadlines.
➢ Design, implement and maintain filing systems.
➢ Establish and monitor procedures for record keeping.
➢ Assist with special projects involving preparations for customer and senior management meetings.
➢ Knowledgeable in Valor policies, procedures, and benefits.
➢ Communicate to both, guests and fellow associates, professionally and positively.
➢ All other duties as assigned by management.
Group Reservations Management:
o Process all group sales contracts and accurately maintain group blocks in the Property Management System (PMS). OnQ & OnQ R&I
o Enter rooming lists, manage group inventory, and audit group blocks post-departure to ensure accurate billing and inventory management.
o Monitor and adjust group blocks to maximize room revenue and ensure optimal inventory utilization.
- Client Communication:
o Serve as the primary hotel contact for group clients, including social and citywide room blocks.
o Respond promptly and professionally to reservation inquiries and provide accurate information regarding hotel facilities, services, and policies.
o Liaise with group contacts to ensure all reservation details and special requests are accurately managed & utilized for group blocks within.
- Internal Collaboration:
o Collaborate with the Sales, Conference Services, Catering, Front Office, and Housekeeping teams to ensure seamless execution of group details.
o Participate in pre-conference meetings and communicate group requirements to relevant departments. Construct room block audits as needed or requested by groups.
o Create and distribute group resumes and coordinate for block grid.
- Administrative Duties:
o Generate and analyze reports related to group pick-up, rooming lists, and billing to ensure accuracy based on group directions until group paid.
o Maintain organized and accurate records of group reservations, correspondence, and billing information.
o Ensure compliance with hotel policies and procedures, including credit policies and payment procedures.
