THE ROLE

Position: Group Rooms Coordinator

Reports To: Director of Rooms

POSITION PROFILE:

Responsible for booking detailed group information for each meeting room in the hotel facility, including any special requests that the group may have for catering or audio-visual equipment.

ESSENTIAL JOB FUNCTION:

• Prepare group history, billing information, deposits, filing, and VIP information.
• Maintain accurate filing system for groups and ensure that each group block is traced.
• Enter, modify and update group block information in system to ensure inventory, stay dates, cancellation policy, deposit requirement, and booking procedure are reflected correctly.
• Process all group reservation requests, changes and cancellations received by phone, fax, e-mail, mail, internally and through travel planners/corporations.
• Record group rooms and revenue in the property management system
• Monitor phones and voicemails with same day 2- hour response time.
• Prepare collateral for site inspections, outside sales calls, and sales trips.
• Assist Sales Managers with rooming list entry and citywide audits as required.
• Enter, coordinate and follow up with Sales Reservations as needed.
• Assist with rooming list uploads as needed.
• Pull daily and weekly reports such as daily arrivals, activity reports, GRC report Record and distribute.
• Communicate to both, guests and fellow associates, professionally and positively.

DESIRED SKILLS AND QUALIFICATIONS:

Education: Two to four-year college degree or equivalent education/experience.

Experience: Hotel experience preferred.

Skills and Abilities: Ability to perform critical analysis and manage wide-range of information. Excellent oral, written and presentation skills that properly reflect the Foundation Image. Listen effectively. Ability to delegate, manage manpower and organize complex projects and establishes priorities consistent with department/hotel objectives.
