What are the responsibilities and job description for the Program Specialist position at CM3 Building Solutions?
The Program Specialist for our Clean Energy Solutions Group will be responsible for the operational details and administration of projects for the group’s sales team. Duties include oversight and reporting on retrofit projects, coordinating schedules of subcontractors/ vendors, and coordinating of equipment orders from placement to delivery.
Essential Functions

- Maintain activity logs for retrofit projects to include; project name, energy partner used, project cost, job status, & close out requirement satisfied.
- Participate in weekly conference calls with Energy Partners.
- Manage all equipment orders and notify Project Manager of all deliveries.
- Follow up with subcontractors and vendors to coordinate scheduling needs.
- Document management for all Clean Energy rebate jobs.
- Regularly meet with Sales and Project Managers to assist with meeting all vendor partner requirements. This includes data collection/management needed to register projects with the Utilities as well as project closeout, upon completion.
- Provide the status of our Energy Partner POs, project receivables, and billing information for projects sold.
- Research all NJ Rebate website opportunities to remain current on all Energy opportunities offerings.
- Participate in all Trade Ally bi-monthly conference calls and webinars to become proficient in the overall offerings that the NJ Clean Energy program can provide.
- Regular customer calls/communication for job scheduling, overall customer satisfaction rating, and obtaining energy bills
- Work with Marketing on post-job success write-ups, demonstrating the savings our projects provided.
Required Education and Experience
- High school diploma or GED equivalent
- Excellent computer and typing skills including above-average experience with Microsoft Office 365.
- Excellent customer service skills
- Excellent verbal and written communication skills
- Excellent interpersonal skills, and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors.
- Sensitivity to confidential matters is required.
- Strong organizational and problem-solving skills.
- Ability to complete work and remain on task without direct supervision.
- Legally authorized to work in the United States on a continual and permanent basis without company sponsorship.
Preferred Education and Experience
- Associate’s degree or Bachelor’s degree in a business or technical field.
- 3 or more years of work experience.
Work Environment
This position operates in an office setting with desk and chair, as well as customer job sites in an environment that may contain dust, noise, oils, greases, grinding debris, compressed air, metal shavings, propane and solvents.

The physical demands described here are representative of those that an employee must meet to successfully perform the essential functions of this job.
While performing the duties of this job, the employee is regularly required to read, count, type, and write to accurately complete all documentation; sitting, standing, bending, and lifting are also necessary. This position requires occasional light lifting.
Position Type/Expected Hours of Work
This is a part-time position, approximately 24 hours per week with possibility of becoming full-time as the Clean Energy Group’s needs grow.
Travel
Travel to customer/prospect sites on a regular basis as needed to complete job-specific duties.
