Overview
We are seeking a dedicated and organized Administrative Professional to join our team. This role is essential in ensuring the smooth operation of our office by providing exceptional administrative support, and taking the lead in coordinating our shipping and receiving operations.. The ideal candidate will possess strong communication skills, a customer-oriented attitude, and the ability to manage multiple tasks efficiently. The position’s primary duties, but is not limited to the following:
- Manage high volume product shipment/delivery.
- Prepare items for shipping, including boxing items, creating shipping labels, and maintaining detailed records of outgoing and incoming shipments,
- Detailed notations in ticketing system and spreadsheets.
- Comparing packing lists to company purchase orders and ensuring that the products in each delivery match the purchase order and packing slip.
- Managing an updating product inventory as products are received and added to inventory
- Following through on process ie. deploy, ship in a timely fashion.
- Resolve shipping issues and customer complaints that arise,
- Process returned goods, documenting damages and discrepancies with vendors.
- Answer phones, greeting visitors, and creating service tickets.
- Additional clerical administrative tasks as assigned.
- Some accounts receivable and purchasing duties
Meticulous attention to detail is mandatory.
The qualified candidate has:
- 2-3 years’ experience in shipping/receiving/logistics role; attention to detail and process orientation.
- Knowledge of inventory processes, shipping platforms (FedEx, UPS, etc.), and order/invoice systems
- Ability to lift 40 lbs., handle high volume, and meet deadlines.
- Strong phone, written, and in-person communication and customer service skills.
- Organized and process-focused with ability to switch priorities as needed.
- Strong Microsoft Office with an emphasis on Excel
- High school degree; associate or bachelor’s degree a plus
