We are currently seeking a highly motivated Administrative Assistant IV located in Los Angeles, CA.
Required Education:
- Post-Secondary Education – Technical School, Associate’s degree, Bachelor’s degree, Master’s degree or Doctorate degree
Required Qualifications:
In order to become a candidate, you must possess the following skills and abilities:
- 10 years or more experience as an administrative assistant.
- Have knowledge of Construction Project Management software for Inspection/Document controls (i.e. PM Web, Adobe Pro, Bluebeam).
- Proven record of accomplishments of office administration
- Handles all matters in strict confidentiality
Responsibilities:
- Able to work well with others and report directly to SCI & PCI inspectors.
- Manage calendars for project supervisors and inspection staff
- Coordinate meetings, prepare agendas, and take meeting minutes.
- Ensure accurate and timely reporting & suggest improvements
- Strong organizational and planning skills in a fast-paced environment.
- Manage everyday office duties and support inspection staff. (including office supplies).
- Excellent knowledge and proficient in Microsoft Office and management software (Be capable to create logs, charts, etc.).
- Available to work modified schedule and overtime as construction activities require.
- May be called upon to take meeting minute notes in meetings.
- Liaison between Inspector and Project management/Document control.
- Coordinate Inspector meeting & with contractor & stakeholder including organizing weekly safety meetings.
- Ability to maintain and organize filing system from pre-construction to project close-out
- Ensure that inspector issued documents and maintained and in compliance with the contract documents and LAWA requirements
- Ability to pass a federal background check and Airport Badge will be required
Salary:
- $81,000-84,000/year
Bonus Pay:
A bonus may be granted to employees depending on individual performance, employee utilization, attendance, tenure, and furtherance of other non-financial corporate goals; bonus opportunities are available at management’s discretion.
