The Central Scheduling Supervisor is responsible for leading the organized functions of the central scheduling team to ensure that operations embrace a patient-centered approach to promote the overall experience and outcomes for the people we serve. This role leads a dedicated team of scheduling staff and is relied upon to promote a positive work environment where all team members can thrive.

While this role is based out of our Waterford office location, there may be occasional travel to our other office sites. This position does provide remote work flexibility as appropriate.

Compensation Range:

The starting pay for this position is $36,000 - $42,000 annual salary and is based on non-discriminatory factors such as skills and experience.

  • Serve as a leader and role model for the organization in matters relating to central scheduling operations and provide daily supervision of assigned team operations.
  • Ensure the compliance and successful execution of all requirements as outlined in contractual agreements and the Michigan Department of Health and Human Services (MDHHS) Medical Manual.
  • Responsible for ensuring that provider schedules are accurately entered into the Electronic Health Record (EHR) system, and proactively communicating any schedule changes as appropriate.
  • Communicate any issues impacting day-to-day operations in a thorough and prompt manner to appropriate staff and other parties.
  • Lead the development of central scheduling work instructions, policies, and procedures, in addition to new system implementations when appropriate.
  • Promote the development of comprehensive central scheduling services by identifying service line, individual served needs, and gaps in services to better meet those needs.
  • Collaborate with other departments and external partners for improved patient care and staff development.
  • Oversee assigned staff work assignments and work schedules to meet the needs of individuals served and the agency.
  • Ensure that direct reports meet productivity and documentation standards per agency expectations, including preparing and submitting required reporting.
  • Regularly assess the quality of work and operational metrics for assigned staff and make suggestions for continuous improvement including the development of team improvement goals.
  • Assist assigned team members as needed in all aspects of central scheduling activities.
  • Promote the utilization of motivational interview strategies and a trauma-informed approach to engage with and provide service to individuals.
  • Serve as a subject-matter expert on the use of electronic health record (EHR) systems and promote the utilization of the Community Electronic Health Record (CEHR) for individuals served.
  • Ensure assigned staff compliance with quality care initiatives including Meaningful Use (MU), Medicare Merit Based Incentive Payment System (MIPS), Commission on Accreditation of Rehabilitation Facilities (CARF), and Certified Community Behavioral Health Clinic (CCBHC) requirements.
  • Ensure that the CNS Healthcare standards of service are applied to interactions with individuals served, guests, and staff.
  • Participate in and promote departmental and agency quality improvement initiatives.
  • Assume responsibility for professional growth by current reading and attendance at educational programs and conferences.
  • Maintain knowledge and compliance with established policies and procedures, corporate compliance program, code of ethics, applicable federal, state, and local laws and regulations, HIPAA standards, and other regulatory programs.
  • Perform other related duties as assigned.

Supervisory Responsibilities:

  1. Provide consistent individual supervision for direct reports based on their individual needs and experience.
  2. Organize and oversee the day-to-day operations of the assigned team to ensure appropriate coverage of responsibilities.
  3. Educate, enforce, and ensure team compliance with CNS Healthcare policies and procedures.
  4. Cultivate, maintain, and enhance team, department, and interdepartmental relationships to promote collaboration, teamwork, and a positive working environment.
  5. Serve as a conduit of communication between direct reports, department leadership, and agency leadership.
  6. Build a strong team by attracting, selecting, onboarding, and developing direct reports to retain high-performance team members and empower them to elevate their level of responsibility, span of control, and performance.

Qualifications:

Required  

  • At least a High School Diploma or GED
  • At least 5 years of experience in a medical office environment, including appointment scheduling for a group of providers
  • Proficient with computers, Microsoft office products, and electronic health records (EHRs)
  • Ability to quickly learn an array of computer hardware and software systems, including telecommunication systems
  • Passion for providing an unparalleled customer service experience in a dynamic and diverse work environment
  • Experience with the application of the Health Insurance Portability and Accountability Act (HIPAA) in health care organizations
  • Ability to work well as part of a multi-disciplinary team, communicate effectively, work collaboratively, and build positive working relationships
  • Ability to use discretion and judgment when handling matters of a sensitive or confidential nature
  • Advanced time management, problem solving, customer service, interpersonal, and conflict resolution skills
  • Ability to be forward thinking and take initiative to accomplish goals and objectives of the department
  • Ability to contribute to an inclusive environment that recognizes the value and contributions of all persons regardless of race, ethnicity, national origin, gender, religion, age, marital status, sexual orientation, gender identity, or disability
  • Requires valid and unrestricted Driver’s License
  • Transportation or Automobile accessibility with current auto insurance.

Preferred    

  • Coursework or a degree in health sciences, healthcare administration, business administration, or similar
  • Prior experience in a supervisory or leadership role
