What are the responsibilities and job description for the Youth Program Support Assistant position at CNY Works?
DEPARTMENT SUMMARY:
The focus of the CNY Works Youth Workforce Programs and Services Team is to engage youth and young adults ages 14 to 24 years old in a variety of career pathway, training, and work experience activities. The Youth Workforce Programs and Services Team provides services for youth and young adults under 3 main program areas; WIOA, YEP, and SYEP.
The Workforce Innovations and Opportunities Act (WIOA) youth programs and services works with youth ages 14-24 years old and provides specialized wraparound services as well as career pathway and employment opportunities.
The Youth Employment Program (YEP) and Summer Youth Employment Program (SYEP) provide training and employment opportunities to eligible youths ranging in age from 14 to 20. The YEP and SYEP programs are an important platform to introduce youth into the workforce and help them acquire skills that can be used to improve school performance, future career outcomes, and become successful adults.
ESSENTIAL FUNCTIONS:
- Provide essential staff and organizational support to the CNY Works Youth Department to ensure its smooth operation.
- Prepare and maintain accurate youth payroll records and files to include all documentation required for new hires including but not limited to verifying youth mailing addresses for correct zip codes and verifying all youth social security numbers for payroll data entry purposes only.
- Data enter into Paychex new youth hires including WIOA, YEP, and SYEP with accuracy and attention to detail.
- Collect and verify employee bi-weekly timesheets are complete and signed by the supervisor and youth participant.
- Communicate with worksite supervisors and youth to ensure timesheets are accurate, on time, and submitted to finance for payroll processing.
- Confirm that youth receive their paychecks, which includes the verification of youth identification and current mailing address.
- Receive outstanding youth check reports and reach out to youth to ensure checks are cashed before they stale date.
- Receive stale check reports and reach out to youth to reissue checks before sending to New York State unclaimed funds.
- Maintain a filing system for payroll related documents including bi-weekly timesheets and organize payroll storage area.
- Develop and/or implement methods to ensure accurate and complete documentation, data entry, and programmatic compliance.
- Other support duties as assigned.
QUALIFICATION STANDARDS:
- Must be at least 18 years old and have a high school diploma or equivalent.
- Candidates with a diverse background, an interest in a career in human services with a focus on youth or at-risk youth, and/or experience working with youth and at-risk youth.
- Possession of a valid driver's license and reliable transportation.
- Proficiency using MS Office.
- Ability to sit at a desk for 6-8 hours at a time.
- Ability to communicate via Teams, Zoom, cellphone, or landline.
- Knowledge of Paychex payroll system ideal but not required.
