Job Summary :
We are seeking a detail-oriented and organized Construction Administrator to support our construction projects by overseeing administrative tasks, ensuring effective communication between stakeholders, and maintaining accurate records. This role will assist with the day-to-day operations of construction projects, from planning through to completion, ensuring compliance with regulations, and helping to resolve issues that may arise.
Key Responsibilities :
Project Documentation Management :
Maintain and organize construction project files, including contracts, permits, plans, and change orders.
Prepare and submit required documentation, including bid documents, RFIs (Requests for Information), and submittals.
Assist in the preparation of progress reports and meeting minutes.
Communication and Coordination :
Serve as a liaison between project teams, contractors, vendors, clients, and regulatory authorities.
Ensure timely communication and updates regarding project status, changes, or delays.
Coordinate project meetings, schedule site visits, and manage project timelines.
Contract and Budget Administration :
Review contracts, ensuring compliance with terms and conditions.
Assist with tracking project budgets, purchase orders, invoices, and change orders.
Ensure all financial documentation is processed in accordance with company procedures.
Permit and Compliance Tracking :
Ensure all necessary permits, licenses, and regulatory documents are obtained before the start of construction.
Track compliance with local building codes, safety regulations, and environmental guidelines.
Assist in safety audits and other compliance-related activities.
General Administrative Support :
Prepare and process internal and external correspondence, including reports, memos, and email communications.
Manage office supplies, orders, and inventory.
Provide administrative support to project managers and other team members as needed.
Qualifications :
Bachelor’s degree in Construction Management, Business Administration, or related field (preferred).
Proven experience in construction administration or related administrative roles in the construction industry.
Strong knowledge of construction processes, contracts, and documentation requirements.
Proficiency with construction management software (e.g., Procore, Buildertrend, or similar) and MS Office Suite.
Excellent organizational and multitasking abilities.
Strong communication and interpersonal skills.
Ability to work independently and within a team, with attention to detail and problem-solving skills.
Knowledge of local building codes and regulations is a plus
