Purpose
Responsible for assisting the leadership team with various tasks as assigned, the Office Coordinator plays a vital role in ensuring the team is successful. The successful Office Coordinator is an energetic professional who doesn't mind wearing multiple hats. Experienced in handling a wide range of administrative duties and executive support-related tasks and able to work independently with little or no supervision. Well organized, flexible, and enjoys the administrative challenges of supporting an office of diverse people. This role is a vital part of the Coastal Team.
Exempt Status: This position has been classified as non-exempt from receiving overtime pay.
Job Functions
- Monitor, Track and Update all fleet records
- Assist with Human Resources
- Ensure properties are well maintained (pest control, lawn care and security company management)
- Monitor and add new employees to corporate accounts
- Answer vendor and client questions
- Correspond with customers to collect on past due invoices and respond to inquiries
- Organize, plan and execute various company events
- Order and source office supplies
- Arrange company travel
- Manage and arrange all trade shows including promotional materials
- Cross-train and assist in other accounting areas to cover vacations, personal time, etc

- Excellent verbal, written and analytical skills

Reporting Relationship
The Office Coordinator reports directly to the Vice President of Finance with a dotted line to the Director of Pre-Construction.

Job Conditions and Working Requirements
1. Working conditions may include:
a. An office environment which requires manual and finger dexterity for operation of personal computers, adding machine and routine paperwork. Ability to sit for extended periods of time.
b. An on-site construction setting during site visits and bid meetings.
2. Work requires willingness to work a flexible schedule.
Measure of Performance
1. Organization of the front office and common areas.
2. Timely delivery of meals for company events.
3. Accuracy of travel plans and not leaving details out.

This position should not require travel.
