Job Summary:
Support and consistently reinforce Coastal's Core Values, provide comprehensive administrative support to the executive leadership team within the Project Risk Management Division. This role requires exceptional communication skills, attention to detail, and the ability to manage multiple priorities in a fast-paced setting. The ideal candidate will have experience in the construction or real estate development sector and be comfortable working with field and office teams alike.
Key Responsibilities:
- Provide high-level administrative support to the Chief Risk Offer and team, including managing schedules, meetings, and correspondence.
- Prepare and edit reports, proposals, presentations, and other documents related to construction projects and business operations.
- Coordinate and attend meetings, take minutes, and follow up on action items.
- Act as a liaison between executives and internal/external stakeholders, including clients, vendors, subcontractors, and project managers.
- Manage confidential information with a high degree of discretion and professionalism.
- Assist with project coordination tasks, including tracking timelines, deliverables, and budget-related documentation.
- Oversee filing systems, maintain accurate records, and ensure proper documentation of contracts, and Risk Division project files.
- Monitor deadlines and ensure the executive team stays aligned with organizational goals and project milestones.
- Perform general office duties, including ordering supplies, managing mail, and coordinating office logistics as needed.
Qualifications:
- Proven experience (3 years) as an Administrative Support role, preferably in the construction, real estate development, or engineering industries.
- Strong knowledge of construction terminology, documentation, and industry practices is preferred.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Exceptional organizational and time-management skills.
- Ability to work independently and under pressure in a fast-paced environment.
- Discretion and confidentiality are essential.
- Associate or Bachelor’s degree in Business Administration, Construction Management, or related field is preferred.
