JOB SUMMARY:
Manages office operations and associated staff. Works directly to ensure efficient practice site operations and adherence to policies and protocols.
EDUCATION:
· High School Diploma (required)
· College Degree in associated health field (preferred)
· Specialty experience (preferred)
QUALIFICATIONS AND SKILLS:
· Minimum of 2 years of experience managing a medical practice or related business
· Experience working in a physician group practice
· Solid understanding of scheduling efficiency and patient flow in a medical practice
· Initiative and ability to work both independently and collaboratively
· Familiarity with insurance policies and guidelines as pertains to office and surgical scenarios
· Excellent time management skills and ability to multitask to meet deadlines.
· Strong written and verbal communication skills
· EHR experience
· Excellent attention to detail
· Strong problem-solving skills
· Proficient with MS Office Including, Excel Word and Outlook
· Neat, professional appearance
· Commitment to patient safety and quality of care
· Ability to work occasional evenings and weekends
RESPONSIBILITIES AND FUNCTIONS include, but are not limited to the following:
OVERALL:
· Acquires and maintains in-depth knowledge of all areas in the office
· Maintains provider office schedules; makes adjustments and revisions, as needed
· Surgical scheduling for providers
· Performs opening and closing office activities which includes money reconciliation
· Performs all tasks associated with daily/weekly deposit
· Oversees petty cash and performs reconciliation monthly
· Enforces consistent collection of payment at time services rendered
· Ensures sufficient supplies available for delivery of quality patient care—orders supplies as needed and obtains competitive bids
· Supervises the initial sort of daily mail and distributes to appropriate staff for opening and distribution
· Maintains facility and all office/clinical equipment
· Maintains patient confidentiality; complies with and enforces HIPAA and compliance guidelines established by the Practice
· Serves as liaison between patients, families, physicians, team members and leadership
· Creates collaborative relationships with vendors, HMH and referral facilities, including, radiology sites and physician practices
· Works collaboratively with marketing team members to promote office services
· Maintains cleanliness and disinfection of the office; oversees staff and environmental service cleaning practices
· Coordinate with other departments as necessary to improve operational goals and expectations
STAFFING:
· Manages all staffing needs—screens all applicants, suggests hiring/termination of non-clinical/clinical staff
· Directly oversees orientation of new employees and provides timely feedback to employees.
· Oversees educational competency of all staff; formulates performance improvement plans as needed
· Conduct and participate in employee reviews to evaluate operational effectiveness to identify areas of strength, weakness and growth opportunities
· Approves employee time cards for payroll processing
· Creates staffing schedules for office staff
· Processes employee time off requests, ensuring appropriate coverage is maintained
· Recommends staff merit increases, promotions, and disciplinary actions
· Fosters open and collegial communication amongst staff members
· Conducts monthly staff meetings and prepares meeting minutes.
· Collaboratively manages and coaches team members to reach optimal performance
· Defines clear roles and expectations of team members
· Works with HR to ensure staff information boards are current and updated as needed
OTHER:
· Maintains detailed knowledge of practice management and other computer software as it relates to job functions.
· Participates in management meetings
· Performs front desk and clinical functions as part of the daily practice, as needed
· Performs all other tasks and projects assigned by Administration and members of the physician team

Typical Physical Demands:
· Position requires full range of body motion including handling and lifting patients, manual and finger dexterity and eye-hand coordination. Involves standing and walking. Employee will occasionally be asked to lift and carry items weighing up to 30 pounds. Normal visual acuity and hearing are required. Employee will work under stressful conditions and work irregular hours. Employee will be exposed to bodily fluids on a regular basis.
Typical Working Condition:

Pay: $45,000.00 - $60,000.00 per year
