We are looking for a full-time Customer Service Specialist to support long-term relationships with our customers by providing prompt, competent, and professional assistance for all things Coastal Source. This role will be responsible for interfacing with customers before and after each order they place. This role will develop and maintain positive customer relations and coordinate with various functions within the company to ensure customer requests are handled in a manner that enhances the customers’ interactions with our brand.

Key Qualifications

  • 5 years of experience in a progressive customer service role
  • High school diploma or equivalent required
  • Associate degree, or college/university degree in Business Administration or relevant field of study a plus
  • Strong verbal and written communication skills
  • Excellent customer relationship skills
  • Ability to maintain professionalism under pressure
  • Solid work ethic and dependable
  • Strong attention to detail
  • Able to independently multitask and prioritize tasks
  • Organized with an ability to track company and customer activities and status on an ongoing basis
  • Excitement to develop new ideas for improving Coastal Source and its processes
  • Able to apply project management skills in executing daily tasks and projects
  • Willing to contribute to a family-like team in a fast-paced, open-office environment
  • Adept at acquiring skills with an eagerness to learn and take on new challenges
  • Advanced MS Office skills (including Excel, Word and PowerPoint)
  • Adept at learning multiple computer software applications
  • Familiarity with current product lines and customer base/industry a plus
  • Familiarity with SAP Business One, Zoho CRM, and/or Smartsheet software applications a plus

What You’ll Do

  • Provide courteous customer service to dealers, sales reps, and business partners
  • Answer customer inquiries by phone and/or email to address their requests for company/product information, availability and shipping schedules, order status and modifications, and more as they arise
  • Edit orders received for pricing and any applicable discounts, informing customer of prices, discounts, charges, shipping date, anticipated delays, and any additional information needed
  • Prepare and issue customer invoices, including any discounts or price adjustments, and email/mail to clients
  • Communicate with customers to address any past due invoices
  • Process client credit card payments and refunds, following up on credit card disputes with credit card provider
  • Research and resolve account discrepancies, issues, or queries
  • Receive and check customer complaints, consulting with production, shipping, warehouse, or carrier personnel to expedite or trace missing or delayed shipment
  • Maintain customer information and other metrics in CRM database
  • Follow up on important orders to ensure delivery by specified dates
  • Prepare shipping documents such as export papers and commercial invoices
  • Compile statistics and various reports as needed for management
