Coates Field Service, Inc. is seeking a full-time Clerical Support employee to support our clients’ needs, working out of our Operations office located in Oklahoma City, OK. This position provides general land-related office support with a variety of clerical activities and related tasks.

Overview of Duties:
- Processes bulk mailings using tools like digital postage and mail merge
- Accurately inputting confidential details into databases using database import functions and manual data entry
- Ensuring that all data is accurate, up to date, and useable
- Updating systems to maintain the correct information
- Updating, maintaining, and retrieving data in project database
- Able to work under pressure and being able to meet deadlines
- Transcribing paper-based records to computer files
- Comparing inputted data with source documents
- Complying with data integrity and security policies
- Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.)
- Assists with other related clerical duties such as photocopying, faxing, scanning, filing, and collating
- Receives, sorts, and forwards incoming mail
Required Education and Experience:
- High school diploma required, AA degree preferred
- Ability to communicate effectively, both orally and in writing required
- Skill in using MS Office Suite (Word, Excel, Outlook, etc.) required
- Skill in using common office machinery and equipment required
- Ability to establish and maintain effective working relationships with those contacted in the course of work required
- Knowledge of correct spelling, grammar, and punctuation required
- Experience handling large amounts of data and spreadsheets required
- Experience utilizing web-hosted databases required
- Experience updating web-hosted databases using import functions preferred
- One year of administrative experience preferred
- Land / Legal Office experience a plus
