SECRETARY (SPECIAL EDUCATION)
Supervisor: Coordinator of Special Education FLSA Status: Non-Exempt
Department: Special Education Department Terms of Employment: 187 Days; 8 hours/day

Nature of Work
To assist in the operation of an effective and efficient office.
Duties and Responsibilities
●Perform office routines and practices associated with an efficiently run office including, but not limited to, efficient records management, excellent customer service, timely processing of incoming mail and completion of projects requested by supervisor, produce accurate and comprehensive written documents as requested.
●Adhere to relevant procurement statute and department rules in the purchase and maintenance of adequate supplies for the office
●Answer, screen, and transfer inbound phone calls.
●Receive and direct visitors and clients.
●Complete clerical duties, including copying, faxing, and mailing.
●Maintain electronic and hard copy filing system; retrieve documents from filing system.
●Handle requests for information and data.
●Prepare and modify documents, including correspondence, reports, drafts, memos, and emails.
●Maintain electronic calendar to schedule and coordinate meetings and appointments.
●Open, sort, and distribute incoming correspondence.
●Order and maintain supplies/materials/services as needed.
●Prepare Leave Requests, EHAs and CSAs as requested.
●Process special education purchase orders; receive and distribute.
●Assist with preparation of special education professional development – copy and organize materials, complete agenda and sign-in sheets.
●Plan and organize work effectively.
●Exhibit professionalism by maintaining good attendance and adhering to establish work schedule.
●Comply with the Code of Ethics, administrative directives, board policy, state and federal statutes and rules and regulations.
●Communicate and display courteous and professional behavior toward students, the public, the Immediate Supervisor, School and District Administrators, staff and peers.
●Safeguard the confidentiality of information pursuant to the Family Educational Rights and Privacy Act (FERPA) and other applicable state and federal statutes.
●Evenings and weekend work may be required.
●Performs such other tasks as may be assigned.
Minimum Qualifications
1.High school diploma or equivalent.
2.Proficient in use of computers, computer and database applications, creation of word documents and spread sheets.
3.Outstanding verbal, written communication and organizational skills.
4.Excellent customer service skills.
5.Excellent computer skills in Microsoft Office (MS) software applications and database applications.
6.Must pass background check.
Licenses and Certifications
Valid NM Driver’s License
Environmental and Physical Factors:
Work is performed in a standard office environment. Light physical demands; frequent use of a personal computer and standard office equipment.
Work Situation Factors:
Position involves competing demands, performing multiple tasks, working to deadlines
occasional work beyond normal business hours, and responding to customer issues. Regular
attendance is an essential function of this job to ensure continuity of services.
