What are the responsibilities and job description for the Administrative Assistant to the Assistants to the Superintendent position at Cocalico School District?
The Cocalico School District is accepting applications for the position of Administrative Assistant to the Assistants to the Superintendent. This is a full-time, 12-month position. Effective communication, organization, and office clerical skills required. Candidate should have experience with Microsoft Office Suite, Google Drive, and web-based platforms, as well as the ability to multi-task, problem solve and learn/master new tasks quickly. Two (2) years of experience as an administrative assistant is necessary, preferably in public education.
Duties and responsibilities include:
- Assist with state and federal programs.
- Assist with the preparation, submission, and reporting of grant proposals and various local, state, and federal reports.
- Assist with distribution, collection, and reporting of state and local assessments.
- Assist as a conduit between school counselors and the District Homeless Liaison to collect intake paperwork and support families dealing with homelessness.
- Assist with collection of all student discipline and school safety local and state reports.
- Assist with collection and maintenance of K-12 School Safety Plans and All-Hazards Plans.
- Maintain records for the Title I/Reading Support program, importing and exporting data, setting up data files, and working with various data systems.
- Assist with the student enrollment process and communicate with families as needed for student registration and maintenance of student information verification forms.
- Process all home-schooling paperwork.
- Assist the Career Counseling and Enrichment Coordinator with paperwork related to the gifted program, as needed.
- Maintain confidential student and staff records, entering data such as test scores, discipline reports, teacher supervision, etc.
- Assist with organizing, communicating, and validating staff development, new teacher induction processes, and State mandated trainings and certifications.
- Maintain and submit records regarding Act 48 hours (professional education hours) to the Pennsylvania Department of Education (PDE).
- Assist with the coordination of Central Curriculum Council activities.
- File and maintain paperwork related to English as a Second Language (ESL), translation requests, and ACCESS testing.
- Import career evidence into student management system for Pennsylvania Information Management System (PIMS) reporting and maintain copies of evidence for state auditing purposes.
- Assist with the coordination of the District’s wellness plan and implementation of goals.
- Assist with the maintenance of administrative procedural operations including the Administrative Handbook.
- Maintain written and verbal communications with staff, parents, and the community.
- Perform clerical duties such as answering the phone, opening and distributing mail, scheduling appointments, typing correspondences, filing, etc.
- Attend and participate in all required meetings and trainings.
