Minimum Qualifications
Three years' experience in performing clerical or administrative work within subject area; OR Associate's degree and two years' experience in performing clerical or administrative work within subject area; OR Bachelor's degree and one year experience in performing clerical or administrative work within the subject area; OR any equivalent combination of education, training and experience which demonstrates the ability to perform the duties of the position.
The ideal candidate has strong data entry and computer skills with excellent quality control practices; is proficient with Microsoft Word, and Excel; must possess excellent customer service skills and enjoy working in a team setting; is comfortable working in a very fast-paced environment and has the ability to work with minimal supervision.
Preferred Qualifications: Cash handling and accounting experience; ability to problem-solve; handle multiple and changing priorities; ability to lead a team; ability to make decisions for the team regarding everyday responsibilities.
This position is non-exempt from overtime.

Typical Duties

- Formats, composes and types correspondence and other documents from written drafts and dictating equipment on routine, complex and confidential matters
- Prepares reports and maintains records
- Receives, sorts, files and retrieves forms, correspondence and documents
- Updates, checks and completes records, forms and documents
- Verifies discrepancies and makes corrections
- Researches records and disburses information
- Establishes and maintains complex filing systems
- Schedules, gathers materials and prepares agenda for various meetings
- Takes and transcribes minutes of meetings and other proceedings
- Maintains control and assures availability of files and other materials
- Assists both internal and external customers, answers questions requiring knowledge of departmental rules and procedures
- Exercises discretion and judgment on minor administrative decisions
- Processes and distributes confidential and sensitive documents
- Assists with answering incoming phone calls and written correspondence via email or other methods as assigned
- Oversight of front desk operations and displays
- Assists with training staff as assigned
- Assists with Coconino County Fair as assigned
- May maintain department budget accounting records
- Manages department contract file system, including entering contracts in County system
- May enter and audit travel claims for compliance with travel policies
- Handle and account for cash in various amounts
- Responsible for collecting, applying, and processing payments for parks and recreation programs
- May assist with collection of fines and fees
- Other duties as assigned
