Accounting Specialist
Job Summary:
The Accounting Specialist will manage the accounts receivable (AR) and accounts payable (AP) processes, ensuring compliance with sales and use tax regulations. This role requires a keen eye for detail, effective communication with both vendors and customers, and the ability to maintain accurate financial records to support the company’s financial operations.
Key Responsibilities:
- Generate and issue prepay invoices to customers, ensuring accuracy and timely submission.
- Monitor accounts receivable aging reports and proactively follow up on outstanding balances.
- Collect customer payments and ensure proper reconciliation of discrepancies.
- Collaborate with sales and customer service teams to resolve billing issues.
- Review and process vendor invoices, ensuring proper approvals and correct coding.
- Prepare and execute payments via checks, ACH, Virtual Card, and wire transfers.
- Reconcile vendor statements and resolve discrepancies efficiently.
- Maintain vendor records and ensure full compliance with company policies.
- Assist in accruals and the month-end AP closing procedures.
- Calculate, prepare, and file sales and use tax returns for multiple jurisdictions.
- Research and ensure compliance with state and local tax regulations.
- Maintain and update tax exemption certificates as necessary.
- Assist with audits by providing necessary documentation to tax authorities.
Additional Responsibilities:
- Support general ledger reconciliations and journal entries.
- Assist with internal and external audits by preparing relevant documentation.
- Collaborate with cross-functional teams to enhance accounting processes.
- Ensure accurate financial records and documentation for compliance purposes.
Qualifications & Skills:
- Bachelor’s degree in Accounting, Finance, or a related field preferred.
- Experience in accounts receivable, accounts payable, and/or sales tax compliance is preferred.
- Strong understanding of accounting principles, financial reporting, and tax regulations.
- Familiarity with ERP systems is preferred.
- Proficiency in Microsoft Excel and other accounting software.
- Detail-oriented with excellent problem-solving skills.
- Strong communication and organizational abilities.
- Ability to work independently and meet deadlines in a fast-paced environment.
