JOB TITLE:
Executive Assistant / Office Manager
DESCRIPTION:
CODE/ /TRUST is currently seeking an administrative GURU that thrives in a multifaceted role. You will be working directly with the C-Suite executives and the Director of Marketing, where you will be responsible for handling a variety of tasks that require excellent communication, organization, and people skills.
This role will require a heavy amount of administrative responsibilities, such as coordinating schedules, making travel arrangements, reviewing, prioritizing, and responding to emails and LinkedIn messages, answering and returning phone calls, organizing documents, maintaining records, taking notes at meetings, and any other administrative tasks that help the executives perform their job well.
In addition to the administrative side, you will also operate as the building’s office manager. This focus will require things like ordering, picking up, and generally keeping supplies stocked, planning and hosting happy hour events, and generally maintaining the office to ensure everything keeps cleaned, organized, and running smoothly.
RESPONSIBILITIES
Responsibilities include but are not limited to:
Executive Assistant Tasks
- Keeping our busy CEO on track, i.e. making sure they're on time and where they need to be at all times
- Assisting the CEO with scheduling of meetings
- Running occasional personal errands as needed
- Making reservations for business outings
- Making and coordinating travel for both business and personal trips
- Managing communication channels in a timely manner, including social, telephone, email, and voicemail
- Preparing agendas, contracts, and other marketing tasks
Office Management Tasks:
- Ordering supplies, picking them up as needed, and generally keeping common office supplies stocked
- Ordering and maintaining a full inventory of beverages and snacks for the company kitchen / drink station
- Assisting the Director of Marketing with planning and hosting happy hours and other events held at the building, including purchasing groceries/beverages, decorating, preparing space, and cleanup post-event
- Generally keeping the office clean and organized
Requirements:
- In-depth understanding of Google Suite (Docs, Sheets, Gmail, Calendar, Drive, etc.)
- Ability to organize a daily workload by priority
- Must be able to meet deadlines in a fast-paced, quickly changing environment
- A proactive approach to problem-solving with strong decision-making abilities
- Professional level verbal and written communication skills
The position starts at $25/hour, 30 hours per week at our office in Mount Pleasant, SC. Preferred schedule is 5 hours per day, flexible on timing but hours should fall within 9am to 5pm EST.
