Position Summary:
Codman Square Health Center is seeking a committed and mission-oriented Grants & Development Specialist to join the team. In this role, you'll be a pivotal part of our organization’s growth, working with our Development Team to devise and execute strategies to ensure our sustainability and expansion. As the Grants & Development Specialist, you'll oversee managing corporate and foundation grant and fundraising opportunities through prospecting, research, proposal writing, and reporting. You'll also play a key role in supporting Codman’s government and public grants management. Reporting to the Director of Development & Grants, this role offers a unique opportunity for you to learn, grow, and make a significant impact on our mission.

This experience should include hands-on grant writing and portfolio management.
Responsibilities:
Responsibilities include, but are not limited to, the following:
- Development Administrative Support
- Facilitate frequent internal meetings of project-based teams, Development Department meetings, and larger inter-department committee meetings; assistance may include coordinating meetings, preparing meeting-specific materials, taking notes/minutes, and facilitating the meeting.
- Offer administrative support to the Director of Development & Grants and the overall Development team by tracking all requests, donor correspondence, and contributions.
- Work with the Finance Department to properly process and record gifts.
- Assist the Director of Development & Grants with other department-related activities and projects, as needed.
- Grants/Funder Prospecting
- Conduct grant and funding opportunity research, including identifying, researching, and qualifying new prospective funders of all types, especially foundation and corporate funders.
- Research, screen, and prioritize public and private funding and partnership possibilities.
- Proposal Development
- As assigned, lead the development of grant proposals/solicitations with guidance from the Director of Development & Grants.
- Assist in reviewing and editing writing/proposals/reports written by other team members.
- Assist with preparing proposals by gathering and formatting information, writing, and revising drafts, liaising with cross-organizational teams (program, executive, finance, human resources, marketing, etc.), and obtaining necessary approvals.
- Develop and maintain organizational/programmatic boilerplate language.
- Communicate the organization's unique story (its mission, history, strategic goals), community, and patient population in an organized and convincing manner through writing.
- Grants Management:
- Assist with creating and managing the development calendar, including ensuring accurate input of future dates to meet deadlines and facilitate development planning.
- Assists with development/grants tracking database management, including record entry, maintenance, and regular production of standardized reports for internal meetings.
- Participate in internal meetings to discuss grant opportunities, reporting requirements, and submissions.
- Assist with preparing reports by gathering and formatting information, writing, and revising drafts, liaising with cross-organizational teams (program, executive, finance, human resources, marketing, etc.), and obtaining necessary approvals.
- As needed, assist in coordinating and preparing site visits to the Health Center by donors, including foundations and government agencies.
- Maintain a library of standard attachments for grant submittals.
- Streamline the development process by supporting best practices, including standardization or customization of information, internal reporting, and metrics optimization, and creating branded templates for proposals, solicitations, and other materials.
- Donor Relations:
- Engage potential donors, ensure timely acknowledgment of contributions, and provide accountable and thorough follow-up to all requests.
- Coordinate with the Communications Director to plan, design, and execute donor appeals for Year-End Appeal, Giving Tuesday, Cause Awareness Days (World Cancer Day, World AIDS Day, etc.), and other days as appropriate.
- Design and prepare mailing materials such as programmatic updates, invitations, and newsletters.
Qualifications
Qualifications:
- Excellent writing, editing, and proofreading skills.
- Ability to remain organized while managing multiple projects.
- Works well independently and as part of a team.
- Must possess excellent interpersonal communication skills and ability to work with all levels of staff (Executive, Finance, Clinical, Operations, etc.), donors, and community members.
- Ability to learn new computer programs and systems, as applicable.
- Maintains a high level of confidentiality and professional demeanor.
Education and Experience:
- A bachelor’s degree is required, and at least two years of grant writing, donor relations, or professional writing experience is required.
- Proficiency with Microsoft Office programs, particularly in Microsoft Word and Excel, is required. Experience with common CRM platforms is preferred but not required. Familiarity with project management/task management programs is preferred but not required. Familiarity with grant management software, like Foundation Directory Online or GrantStation, is a plus.
- Background in health care, public health, or community health centers preferred but not required.
