Job Summary
This position is responsible for coordinating clerical, receptionist and scheduling duties to include obtaining prior authorization for procedures using the hospital’s information system. The coordination of activities occurs intradepartmental, and with physician offices. Performs other related duties incidental to work described within. The employee must be able to demonstrate the knowledge and skills necessary to provide care appropriate to the age of the patients served on his or her assigned unit. The individual must possess the ability to assess data reflective of the patient’s status and interpret the appropriate information needed to identify each patient’s requirements relative to his or her age specific needs, and to provide the services needed as described in the unit’s policies and procedures.
Job Requirements
High School Diploma or GED required. Must have a working knowledge of medical terminology.
Experience
Minimum of two years of secretarial, medical/secretarial skills preferred. Minimum of one year experience in related health care field preferred.
Skills
Must be able to relate well and work well with all types of people. Must have well-developed written, verbal and interpersonal skills. Must know medical terminology. Must have working knowledge of Microsoft Office Suite products including Word and Outlook.
Required Certifications
CPR Heartsaver certification required within 6 months of hire, or as class availability allows.

Essential Functions
- Effectively communicate with physicians’ offices and patients to schedule procedures.
- Accurately record patient’s information following hospital procedures.
- Make reservations for all surgeries, invasive and non-invasive procedures to meet the physicians’ needs and to ensure smooth flow and efficient progression of scheduled cases.
- Professionally greet all customers calling or presenting themselves to the department in a friendly and helpful manner.
- Maintain adequate time allotment for each procedure scheduled. Coordinate with appropriate department personnel regarding any change in schedules, need for special equipment, or any unusual requests related to the procedure.
- Maintain the flow of communication in the department, including answering the telephone and providing information and directions for patients and other guests.
- Check the proposed procedure codes against the inpatient only list. Communicate to the physician’s office if documentation is needed or status needs changed per codes provided.
- Ensure that equipment is not double scheduled on any day and that doctor’s block time is considered when procedures are scheduled.
- Notify the department director or designee when a surgeon requests “special” equipment or supplies.
- Coordinate the scheduling of procedures with other hospital departments such as radiology for needle localization, TEE, etc.
- Communicate all changes in surgery schedule to all involved physicians, OR personnel, and other ancillary hospital departments as appropriate.
- Verify insurance and perform pre-authorization of procedures being scheduled. Work with Case management and physician offices to obtain needed clinical notes and pre-authorizations from insurance companies.
- Communicate effectively by establishing and maintaining two-way communications with co-workers, other professional disciplines, physicians and administration. Position requires close coordination with facility coders, Patient Financial Services, clinical departments, I.T., and Case Management.
- Pre-register patients for their procedures entering the appropriate diagnostic testing order, demographics, and insurance information into the hospital information system to facilitate patient care and hospital billing procedures.
- Learn the legal compliance issues associated with the scheduling duties. Have knowledge of appropriate codes and perform medical necessity testing. Distribute ABN’s as necessary.
- Register patients per company policy.
- Perform point of collection for copays as appropriate.
- Hand out appropriate paperwork to patients upon registration.
- Attend meetings as requested.
- Work with other departments to resolve problems and expedite procedures.
- Solve practical problems, dealing with a variety of issues, and interprets instructions furnished in written and oral form.
- Maintain a current CPR Heartsaver certification.
- Maintain department files.
- Perform job duties of OR Specialist as needed.
- Perform other duties as requested.
