JOB TITLE: Surgical Materials Specialist
DEPARTMENT: Surgical Services
REPORTS TO: Director of Surgical Services
JOB SUMMARY
The Surgical Materials Specialist will be responsible for timely ordering, acquisition and distribution of supplies and products including non-capital and capital inventory items within the Surgical Services department. The specialist maintains the Surgical Services inventories, assists with PAR level setup and maintenance, and enters data/information into Meditech. The Specialist will work with the OR Clinical Supervisor in maintaining item locations, including updated labeling.
JOB REQUIREMENTS
Past experience with supply chain required.
EXPERIENCE
A minimum of two years’ experience in a hospital operating room preferred.
SKILLS
Must be able to anticipate the needs of the surgeons, staff and patients. Good hearing is necessary. Good communication skills required. Must have computer skills with experience in data entry, (Meditech experience preferred).
REQUIRED CERTIFICATIONS
BLS (AHA)
ESSENTIAL FUNCTIONS
- Collaboratively maintains the appropriate inventory PAR levels and bi-annual inventory of the Surgical Services Department.
- Meets with vendors to obtain product and pricing information.
- Ensures timely purchase order processing and acquisition of all approved supplies and products, including non-capital and capital inventory items.
- Reviews supply purchase requests and inventory orders for compliance with purchasing contracts. Will work with clinical personnel to consolidate GPO purchases with vendors, especially where sole-source pricing is offered by a contract vendor.
- Responsible for timely receiving and distribution of all supplies and products.
- Works closely with the Materials Department and has knowledge of GPO purchasing contracts as they relate to medical supplies, services and equipment.
- Checks outdates and condition of supplies within the Surgical Services department.
- Performs reviews of all sales orders, identifying discrepancies to ensure vendors adherence to negotiated prices and established terms, before final review by supervisor, and/or director.
- Notifies appropriate personnel of back orders and shipping dates, and seeks alternative vendors as appropriate, and communicates to Material Management Department.
- Records price changes as necessary.
- Assures that stock is rotated and that outdated supplies are replaced.
- Assists with daily updates of implants in the UDI tracker system.
- Provides exemplary customer service, enthusiasm and a sense of pride in the organization that is visible to patients, visitors, co-workers and physicians.
- Respects patient’s rights to privacy and dignity. Maintains confidentiality/privacy of patients and their health information.
SECONDARY FUNCTIONS
- Assists with duties in the operating room. These duties include, but are not limited to: pulling surgical cases, restocking supplies, and assisting nursing staff with various duties.
- Serves on committees as assigned.
- Assists in completing incident reports.
- Attends meetings as assigned.
- Participates and occasionally instructs in-services for fellow employees.
- Fosters a positive and professional environment by interacting with all persons in a considerate, helpful, and courteous manner.
- Attends workshops and in-services as necessary.
- Assists OR Specialist as needed, and performs this job function when necessary.
- Other duties as assigned.
