We are seeking a highly organized and motivated Office Manager to oversee the daily operations of our Cognitive Behavioral Services (CBS) Mental Health Clinic. This role is essential in ensuring smooth administrative processes, managing client intake, and leading our support team to provide exceptional service to clients and clinicians.
The ideal candidate will be detail-oriented, skilled in office management, and passionate about mental health care. This individual will supervise administrative staff, facilitate client intake procedures, maintain compliance with healthcare regulations, and support a positive and efficient workplace culture.
Key Responsibilities
Administrative & Office Management:
- Oversee and manage daily office operations to ensure efficiency and organization.
- Maintain electronic medical records (EMR) and ensure proper documentation.
- Oversee insurance verification, and authorizations in collaboration.
- Manage office supplies, technology, and vendor relationships.
Client Intake & Support:
- Serve as the first point of contact for new clients, explaining intake procedures and collecting necessary documentation.
- Process and review client intake forms, verify insurance, and schedule initial assessments.
- Ensure HIPAA compliance and confidentiality in handling sensitive client information.
- Address client inquiries with professionalism and empathy.
Team Supervision & Leadership:
- Supervise, train, and support secretarial staff to ensure high performance and client satisfaction.
- Conduct regular team meetings and performance evaluations.
- Coordinate onboarding for new administrative staff and provide ongoing development opportunities.
- Foster a positive work environment that aligns with the clinic’s values and mission.
Compliance & Quality Assurance:
- Ensure compliance with state, federal, and accreditation guidelines related to mental health services.
- Maintain up-to-date knowledge of healthcare regulations and best practices.
- Assist in audits and quality improvement initiatives.
Qualifications & Skills:
- Education: Associate’s degree or equivalent experience.
- Experience: Minimum of 2 years in office management, preferably in a healthcare or mental health setting.
- Strong leadership and supervisory skills.
- Excellent interpersonal and communication skills.
- Proficiency in EMR systems and office management software.
- Knowledge of HIPAA regulations and medical billing processes.
- Ability to multitask, prioritize, and adapt to a fast-paced environment.
