TITLE: Community Life Coordinator

FLSA STATUS: Non-Exempt

REPORTS TO: Director, Community Operations

LOCATION: Elyson – Katy, TX

Summary

The Community Life Coordinator has a key forward-facing role in delivering outstanding customer experiences to Elyson stakeholders. This position supports the administrative functions of the Elyson Residential Association and assists all onsite positions as needed. By contributing to the implementation of operations and communications strategies, the Community Life Coordinator plays a vital role in delivering on the broad, collaborative community-building initiatives of Cohere and our clients. This position requires an enthusiastic attitude, a strong customer service background, and a willingness to work a flexible schedule.

The Community Life Coordinator will provide a warm and professional approach while utilizing their experience, skills, and exceptional communication abilities to engage with all Elyson stakeholders, including residents, prospective residents, vendors, volunteers, and others seeking assistance. They will manage administrative responsibilities associated with supporting the Elyson Community Life Team, ensuring the overall efficiency and effectiveness of operations. With a cooperative and cheerful outlook, the ideal candidate will excel at managing multiple tasks, demonstrating exceptional follow-through, and fostering a welcoming community environment.

Scope:

· Serve as the ‘first responder’ and ‘gatekeeper’ for Elyson stakeholders by answering questions, providing assistance, and responding to needs quickly and accurately.

· Support the resident-verification and amenity access process, including maintaining access policies, procedures, and the security control system.

· Manage building operations for the Elyson Residential Association office, including general office contracts, tracking, ordering office supplies, conference room setup and cleanup before and after meetings, and maintaining a clean and organized kitchen/breakroom as needed.

· Assist the Compliance Coordinator with the Design Review process, including gathering and reviewing resident applications, ensuring accuracy, and maintaining associated documentation in a cloud-based storage system.

· Assist the Executive Director gather information and support the preparation of agendas for board and committee meetings as needed.

· Promote, support, and inform stakeholders about community initiatives, outreach activities, and partner relationships.

· Address customer service needs with a friendly and caring—yet assertive—demeanor, following standards and guidelines; comfortably address residents not following policies and handle escalated situations when necessary.

· Update internal calendars.

· Oversee the amenity rental process, including providing information to residents about the rental process, processing facility usage agreements, scheduling rentals, and notifying the Operations Manager of any issues associated with a community rental. Notify the Executive Director or Community Operations Manager when fees or fines should be applied to the owner’s accounts.

· Coordinate board, committee, internal, and partner meetings, including managing room reservations, audiovisual needs, food, and beverage arrangements.

· Serve as the Vantaca ‘traffic cop’ for residents and internal team members, ensuring requests and inquiries are routed appropriately.

· Maintain accurate records in cloud-based storage systems, serving as records manager.

· Provide support to the Board appointed committees as needed.

· Assist in delivering the community brand and engagement strategy by fostering connections among residents and stakeholders.

· Monitor, evaluate, and maintain content on the community website as required. Verify ownership and complete resident owner requests for access to the community website.

· Participate in Cohere’s Councils of Excellence and engage in ongoing personal and professional development to expand skills, knowledge, and passion for community management.

· Support the success of the Elyson Community Life team by actively participating in monthly meetings, sharing the best practices, and contributing to collective problem-solving.

· Assist the Engagement Director as needed and attend after-hours meetings and events to support community initiatives and engagement.

· Perform other responsibilities as assigned.

Knowledge | Experience

· Proficient in Microsoft Office Suite, including Word, Excel, Publisher, PowerPoint, Paint, and Outlook.

· Proficient in database management.

· Familiarity with community management software, such as Vantaca, or willingness to learn.

· Personal skills include leadership abilities, a positive outlook, self-motivation, and problem-solving.

· Experience in customer service and working in a professional environment.

· Effective communication, motivation, cooperation, and conflict resolution skills.

· Ability to manage multiple tasks simultaneously while maintaining exceptional attention to detail.

· Experience in coordinating and supporting events or meetings preferred.

· Bilingual proficiency in Spanish (preferred) to effectively communicate with a diverse population.

· Strong organizational and time-management skills with the ability to meet deadlines.
