Key Responsibilities:
- Prepare and generate client invoices in accordance with billing guidelines and client agreements.
- Coordinate with attorneys and processors to ensure timely submission of billing materials.
- Assist with the resolution of billing discrepancies and inquiries from clients.
- Monitor accounts receivable and follow up on outstanding invoices to facilitate prompt payment.
- Maintain billing records and documentation in compliance with firm policies and procedures.
- Assist in the preparation of billing reports and financial analyses as needed.
- Collaborate with accounting and finance staff to reconcile billing records and resolve discrepancies.
- Provide administrative support to the billing department, including filing, data entry, and other tasks as assigned.
Qualifications:
- High school diploma or equivalent; additional qualifications in office administration or related field is a plus.
- Previous experience in billing, accounting, or financial administration, preferably in a law firm or professional services environment.
- Proficiency in billing software and accounting systems; experience with legal billing software is a plus.
- Strong attention to detail and accuracy in data entry and record-keeping.
- Excellent communication and interpersonal skills, with the ability to interact professionally with attorneys, clients, and colleagues.
- Ability to prioritize tasks and manage time effectively to meet deadlines in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Familiarity with billing processes and procedures in the legal industry is preferred.
