Professional Manager

POSITION TITLE: Professional Manager

 

REPORTS TO: Director of Community Living

 

SUMMARY: CCRSI is a Tiered Support Agency recognized by the Department of Mental Health.  The Professional Manager (PM) is primarily responsible for directing the implementation of services available to individuals living in an agency facility. The PM is responsible for site management and supervises staff assigned to their location.  PM participates in interagency meetings for planning client services; coordinates the implementation of all individual program plans and leads agency efforts to assure health and safety considerations.  The PM is also responsible for ensuring client medical care needs are met. Direction is received from the Director of Community Living. The PM’s character and professional conduct shall present a positive model for all clients and staff and is expected to follow the agency’s core values.

 

 

ESSENTIAL FUNCTIONS OF THE POSITION:

  1. Provides accommodations to individuals with developmental disabilities individuals and interacts in a professional and respectful manner using CCRSI’s core values of Caring, Compassionate, Respectful, Supportive and Individualized.
  2. Responsible for all staff scheduling at the facility and ensures the requirements of Department of Mental Health (DMH) for all services provided at the facility.
  3. Provides client care when scheduled staff needs assistance or are short staffed.
  4. Ensures all client medical needs are being met including medical appointments, medical documentation, physician’s orders/Medical Administration Record (MAR), etc.
  5. Reviews and approves assigned staff’s daily time to assure accuracy and make sure payroll is approved weekly including approving vacation and sick time.  Schedules any approved time off in advance of staff absence.  Ensure coverage needs are met when staff are unable to work.
  6. Provides staff their schedule two weeks in advance.
  7. Ensures facility staff are scheduled and attend all necessary trainings (e.g., CPR/First Aid, and Medication Administration) and certifications as required by agency and state regulations; and trainings are up to date and not lapsed, which could jeopardize CCRSI’s certification.
  8. Facilitates new hire and other trainings.
  9. Schedules, prepares, facilitates, participates in, documents, and attends meetings as necessary – e.g. staff meetings, full-staff agency meetings, Professional Manager meetings, ISP meetings, supervisory trainings, etc.
  10. Responsible for interviewing candidates, as needed.
  11. Prepares documentation or information on employee promotions, changes of status, performance evaluations, and any coachings, as needed.  This documentation must be shared with the Director of Community Living and Human Resource Manager.
  12. Accountable for the safety and health of all employees and clients working under his/her supervision at the facility and correct any safety issues identified.
  13. Reads and monitors Therap logs for proper criteria and 24-hour coverage.
  14. Works closely with Director of Health Services to provide appropriate supports to individuals.
  15. Complete weekly and monthly paperwork and turn into Director of Community Living.
  16. Conduct and document safety drills.
  17. Ensure facility vehicles are in clean safe working condition and schedule any maintenance through Maintenance Supervisor.
  18. Complete incident reports, as needed.
  19. Demonstrates excellent oral & written communication skills with clients, staff, supervisor, and outside entities.
  20. Document and report to Accounting monthly client financial reports, pay client bills, submit monthly client timesheets to accounting.
  21. Ensure the facility has the necessary office supplies and custodial supplies.
  22. Performs on-call responsibilities for staffing/facility/vehicle/client issues and accepts supervision including other duties as assigned.
  23. Arrives on time and works scheduled shifts.  Utilizes sick and vacation according to the timelines and procedures outlined in CCRSI’s Policies and Procedures.
  24. Follows all policies and procedures of CCRSI.
  25. Communicates promptly with the Director of Community Living, Professional Managers, co-workers and/or on-call personnel and all information needed to effectively operate the program (any health concerns or other issues as they arise).
  26. Interacts professionally with CCRSI staff, clients, and outside entities including the public and being a positive role model and following CCRSI’s Code of Conduct.
  27. Reviews daily documentation including progress notes, event reports (when applicable) and other documentation as required.
  28. All employees must recognize the responsibility to prevent injury and illnesses and must take necessary action to do so.  Their performance in this regard will be measured along with overall performance.   Maintains a safe work environment by reporting or correcting any issue that may cause harm or damage to other individuals or the home.
  29. Makes routine decisions in accordance with procedures, laws, and regulations and apply these to work situations.
  30. Must work independently of other staff.
  31. Responds effectively and immediately to emergency situations, using good judgement, and following designated agency’s emergency procedures, laws, and regulations.

Supervisory Responsibility

This position has direct supervisory responsibilities.  The following positions will report directly: Direct Support Professionals (DSPs) and CNAs.

 

WORK ENVIRONMENT:

While performing the duties of this job the employee frequently uses cleaning supplies and some mechanical equipment (e.g. Hoyer lifts, c-pap machines, hospital beds, blenders, gait belts, etc.).  Employees assist clients with a variety of medical conditions and behavioral situations.  The noise level is moderate to quiet with occasional increases.  This role routinely uses standard office equipment such as computers, phones, photocopiers, file cabinets, and fax machines.

PHYSICAL DEMANDS:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of the job.  While performing the duties of this job, the employee is regularly required to talk and hear.  This position is active through the shift and requires the employee to stand, walk, kneel, bend, twist, stoop, reach above shoulder height, reach below waist, do two handed work, sit, and climb stairs.  The employee must occasionally lift and/or move 10 to 25 pounds and frequently lift and/or move clients weighing over 100 pounds.  Must be able to carry or pushing/pulling 10-25 pounds.  Must be trained and able to administer CPR and First Aide, in emergency and other situations, as needed.  Administer cardiopulmonary resuscitation (CPR) per the American Red Cross Association guidelines.  CPR requires the employee to move the client/individual to a firm, flat surface, which is most likely the floor, and do compression and rescue breaths.  Must be able to help clients evacuate or move clients to safe areas in case of a fire or tornado.

 

POSITION TYPE/EXPECTED HOURS OF WORK:

This is a full-time position and mainly operates in a residential care environment open 24 hours a day, 365 days a year, regularly including on/call 24/7, long hours, some weekends, some holidays, and work during inclement weather may be required.  Days and hours of work vary.  Must be on-call 24/7.

 

TRAVEL:  Incumbent will be required to work at any location and be responsible for their own transportation to and from work and/or other locations.  Travel is primarily traveling

to CCRSI locations and on occasions to help the local transporting of clients in agency vehicle as needed to appointments, activities, etc.; some out-of-area and overnight travel may be expected to attend conferences or meetings.  Any time a personal vehicle is used for business purposes, CCRSI will reimburse mileage, at the approved board per mile rate.  All staff must drive safely at all times and follow traffic laws.

 

 

 

 

Qualifications


Required Education and Experience:

 

Minimum Qualifications

  • Three (3) years of full-time experience with providing services to individuals with developmental disabilities as DSP and/or Professional Manager with CCRSI or at least four years’ full-time experience for non-CCRSI employees. 
  • Completion of all required training as directed by the administrative office.
  • At least one (1) year of supervisory or management experience.
  • Ability to use a computer (MS Word, MS Excel, Outlook, search engines, etc.).
  • Proficient with oral and written communication including proofreading and editing skills.

 

 

Preferred Qualifications:

  • Bachelor’s degree from an accredited college or university with specialization in a related field (such as medical, therapy, social work, teaching, or other Human Services field - or similar coursework as approved by the Director of Community Living) and at least 1 year of experience with CCRSI as a DSP and/or Professional Manager OR at least two (2) years or relevant non-CCRSI experience.  (Consideration will be made to applicants for years of experience with other like agencies in lieu of degree.)
  • Two to four years supervisory or management experience.

 

Additional Eligibility Qualifications:

  • At least 21 years old to drive agency vehicles and maintain a clean driving record and able to transport clients to activities in the community during day, evening, and weekend hours. 
  • Must be registered and pass the Family Care Safety Registry and maintaining a satisfactory Family Care Safety record is a condition of my employment.
  • Must obtain a valid Class E driver's license within 30 days of hire, if over 21 years of age, and maintaining a satisfactory driving record is a condition of my employment.  Exceptions must be approved by the Executive Director.
  • TB test completed before beginning employment & must be retested/screened as TB free annually.
  • Must pass pre-employment drug and random drug screens.
  • Must have access to reliable transportation.
