BASIC FUNCTION: Under general direction performs supervisory, quasi-administrative and highly skilled secretarial work involving access to infomation concerning employer-employee relations fo a division or major department of the district; organizes, manages and directs the clerical functions of the division or department; assumes primary responsibility for employees as well as provide or recommend staff training. Keeps official division or department records and executes administrative policies determined by or in conjunction with other officials.
Office Manager II performs a variety of complex, diverse and supervisory clerical duties involving independent judgement and action; and assigns, coordinates and reviews work of a large support staff with a variety of job classifications within an office or division.
REPRESENTATIVE DUTIES: (Incumbents may perform any combination of the essential

- In conjunction with the division administrator, identify, plan and implement office administrative procedures and policies, and supervise and monitor implementation of office procedures and policies including but not limited to employee time and attendance records, productivity records, processing of work, document management, filing and storage procedures.
- Manages, assigns and coordinates and reviews work of support staff.
- Supervises, coordinates and implements office echnology and communication systems including providing ongoing training to office staff on office technology and communication systems, and office policies and procedures.
- Completes primary clerical assignments for the Division Administrator.
- Analyzes and organizes office operations and procedures such as typing, bookkeeping, preparation of timesheets, flow of correspondence, filing, requision of supplies and other clerical services.
- Evaluates office production, revises procedures or devises new forms to improve efficiency of work flow.
- Coordinates activities of various clerical deparments or workers within department.
- Supervisory Responsibilities: Supervises one(1) or more suppportive staff employees. Is reasponsible for the overall direction, coordination, and evaluation of this unit. Carries out supervisory responsibilities in accordance with the district's policies and applicable laws. Responsibilities include interviewing, hiring, and disciplining employees; addressing complaints and resolving problems.
MINIMUM QUALIFICATIONS:
Associates degree (A.A.) or equivelant from two-year college or technical school; and four years related experience and/or training; or equivelant combination of education and experience in a large organization. Experience in using personal and network computers for word processing, departmental budget management, database management, spreadsheet analysis and system applications. Bilingual abilities desirable.
TRAINING, EDUCATION AND EXPERIENCE:
Any combination of education, training and/or experience equivalent to: Associate’s Degree (AA) plus related courses and five years of relevant experience.
LICENSES AND OTHER REQUIREMENTS:
Valid California driver’s license.
Employment eligibility that may include fingerprints, Tuberculosis and/or other employment
clearance.

- Modern office methods, practices and procedures; principles of office management; collection, organization, and maintenance of information, including statistical data and electronic mail; personal and/or network computer skills.
- Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
- Ability to effectively present information and respond to questions from groups of managers, clients, customers and the general public.

PHYSICAL DEMANDS:
Hearing and speaking to exchange information in person or on the telephone; seeing to read a variety of documents; reaching overhead, above the shoulders or horizontally, or bending at the waist; dexterity of hands and fingers to operate standard office equipment; lifting light objects.
While performing these duties of this job the employee is regularly required to use hands to finger, handle or feel objects, tools or controls and reach with hands and arms. The employee frequently is required to stand and sit. The employee is occassionally required to walk; climb or balance; and stoop, kneel, crouch, or crawl.
The employee must frequently lift and/or move up to 10 pounds to access files, binders, books etc; and occassionally lift and/or move up to 30 pounds. Speciic vision abilities required by this job include the ability to adjust focus.
