Facility Overview

At Ocean View Psychiatric Health Facility, we are committed to  serving as a community resource, providing the highest quality of mental health services. Currently, Ocean View operates as an adult 39-bed voluntary acute inpatient facility, offering private rooms and individualized care through a multi-disciplinary approach focusing on compassionate care and best practices. We also provide Intensive Outpatient (IOP) and Partial Hospitalization (PHP) services to ensure a continuum of care after acute stabilization. We are currently in the process of expanding our Long Beach facility to 80 beds, offering a locked facility setting for those who meet intensive mental health criteria. Additionally, our expansion plans to other areas are progressing rapidly, and we anticipate that our Colton location in San Bernadino County, will be operational by mid-2025. 

Intake Coordinator Position Overview 

Pay Range: $23-$26/hr

The Ocean View Intake Coordinator plays a crucial role in the recovery of each patient. Incumbents in this classification work at an entry level under the supervision of the Intake Manager and the Intake Coordinator Leads performing a wide range of administrative tasks necessary to facilitate the Admissions process. The intake coordinator must have the ability to communicate clearly, effectively, and compassionately with individuals seeking psychiatric care. Incumbents must be able to work collaboratively and in conjunction with other care team members who may work elsewhere. Intake coordinators are tasked with providing guidance and support to patients through the admission process by gathering sensitive information. Make a difference by providing quality care alongside us at Ocean View!

Below is a list of the range of duties performed by employees in this classification. These examples are not meant to reflect all duties performed within the job and not all duties listed are necessarily performed by each individual.

*Collect relevant health information; conduct pre-admission assessments

*Coordinate patient transportation to ensure a safe and timely transition into and from the hospital setting.

*Answer incoming triage phone calls and complete phone assessments with potential patients.

*Collect and verify patient insurance coverage

 *Perform basic math computations to determine eligibility and billing status and/or statements

*Collect medical and psychiatric documentation for clinical review.

*Communicate with clinical team regarding patient documentation and status of approval for admission. 

*Communicate patient admission(s) to necessary staff such as Nursing, Social Work, Outpatient Services as applicable.

*Clearly document all received phone calls and relay messages to staff when necessary.

*Input patient information into the Electronic Hospital Records (EHR) data system. Admit and discharge patients in the   EHR system. 

*Fax daily census i.e. bed/capacity availability to local facilities.

*Communicate with the outreach team regarding referrals, potential admission updates, bed availability, and patient status.

Minimum Qualifications

• High School Diploma 
• 2 years of experience working with mental health patients coordinating/processing the intake admissions process 
• Ability to utilize a computer to keyboard and enter data into a electronic data records system
• Principles of writing and grammar, correct spelling and proper word usage, grammar, punctuation and sentence structure
• Quickly and accurately enter, format, revise and print a wide range of information in text
• 2 years of experience working in a hospital intake department or division.
• 2 years of experience entering and retrieving data from an Electronic Hospital Records (EHR) data system.
• Ability to speak, read, and write legibly in English.

Preferred Qualifications

• Computer skills that demonstrate proficiency within Microsoft Office Suite for programs such as: WORD; Excel; Microsoft Teams; or any cloud-based team communication platform such as Slacker.
• Bilingual English/Spanish.

Special Conditions

Job offer is contingent on successfully meeting the standards mandated by the California Department of Health and Human Services to successfully pass live scan fingerprinting/background check clearance, TB test/Physical, and license/education verification. 

Physical, Mental, Environmental and Working Conditions

• Frequent walking, standing, sitting, kneeling, twisting, and bending
• Ability to hear well enough to communicate and take direction
• May be required to lift up to 10 pounds
• Manual dexterity to handwrite and/or use a computer keyboard
• Ability to stand or sit for long periods of time
• Ability to operate office equipment requiring repetitive hand movements and finger coordination including use of a computer keyboard

Environmental and Working Conditions

Ability to work both in an office setting and a healthcare setting. The ability to communicate and interact with patients over the telephone and in person during the admissions process who may be suffering from mental health and/or behavioral health condition. Ability to work under stressful conditions, interactions, and competing priorities.
