The Payroll & Benefits Coordinator is responsible for processing payroll, managing benefits-related tasks, and ensuring accurate reconciliation of benefits payments. This role requires strong organization and attention to detail, problem-solving skills, and the ability to maintain compliance with payroll and benefits regulations. Technical requirements must be complemented with great interpersonal skills, and a focus on superior customer service to employees.

Requirements :

Key Responsibilities :

  • Process bi-weekly payroll for employees and independent contractors through completion of journal entries for accounting support.
  • Responsible for calculating, tracking, and communicating commissions for employees and independent contractors. This includes report preparation and distribution, reconciliation to draws.
  • Administer payroll deductions, wage garnishments, and tax withholdings.
  • Manage benefits administration as a special project : Review and reconcile benefits invoices before processing.
  • Ensure employees are charged the correct benefits premiums.
  • Communicate with employees regarding benefits deductions.
  • Address payroll and benefits-related discrepancies and employee inquiries.
  • Prepare payroll and benefits reports for compliance and audits.
  • Creation and upkeep of process documentation.
  • Review and organize incoming mail for further action amongst the team.
  • Provide backup to key routine processes : all roles will require knowledge of key processes to ensure redundancy and coverage if other team members are out of office or need support.
  • Support compliance management of payroll tax, unemployment, and other general business compliance as needed.
  • Special Projects : as assigned, projects that support systems improvements, research, new company initiatives, and / or problem resolution. Projects will require both the ability to work independently, and as part of a team depending on the need.
  • Key Requirements :

  • A combined minimum of 3 years of educational or related work experience.
  • Experience processing multi-state payroll.
  • Basic accounting knowledge.
  • Ability to identify problems and respond to employees & other internal clients timely.
  • Strong proficiency in payroll systems and Microsoft Excel.
  • Excellent communication skills and professional presence.
  • Demonstrated organizational skills.
  • Certification through APA, SHRM, or HRCI is advantageous.
  • Experience with HRIS software transitions is preferred.
  • This is a hybrid role, which requires 1-2 days a week in a shared office working environment. Flexibility exists on days and times, but we do value in person training as well as freedom to work from home for more focused workdays.
