The Academic Records Compliance Specialist is critical in managing student financial services, ensuring accuracy, compliance, and excellent service to students and institutional stakeholders. This position oversees military benefit certifications, student stipend disbursements, and records compliance. This role requires a strong attention to detail, knowledge of financial systems and regulations, and the ability to work collaboratively across departments to provide superior service to students and families.

Key Responsibilities :

Stipend Administration (40%)

  • Oversee the disbursement of stipends to eligible students, ensuring that payments are distributed according to institutional guidelines and timelines.
  • Coordinate with departments such as financial aid, payroll, and student services to ensure accurate and efficient processing of stipend payments.
  • Address student inquiries regarding stipend eligibility, disbursement schedules.
  • Maintain accurate records of stipend disbursements and ensure timely reporting to institutional leadership.
  • Serve as the primary point of contact for students and families regarding account stipends.

Records Compliance Oversight : Data Integrity, Enrollment Reporting, and Athletic Eligibility (40%)

  • Submit monthly Enrollment Reports to the National Student Clearinghouse (NSC) and National Student Loan Data System (NSLDS).
  • Coordinate with Information Technology and the Registrar to resolve data discrepancies (e.g., duplicate enrollment records, status changes affecting Federal Financial Aid, and accurate Enrollment Reporting).
  • Collaborate with Financial Aid to update name changes and Social Security number adjustments in the Student Information System (SIS).
  • Conduct regular audits of student records to ensure accuracy and completeness, implementing corrective measures as needed in collaboration with the Registrar.
  • Organize, supervise, and maintain student records while ensuring compliance with FERPA and safeguarding confidentiality.
  • Assess and verify the academic and eligibility status of student-athletes according to NCAA, conference, and institutional regulations.
  • Maintain accurate and up-to-date records of student-athlete eligibility, ensuring compliance with policies and regulations.
  • Participate in athletic registration clinics each semester.
  • Monitor student-athlete academic progress and ensure adherence to eligibility standards.
  • Collaborate with enrollment services, faculty, and the athletic department to support student-athletes success and academic progress.
  • Military Certifier Duties (10%)

  • Act as the certifying official for all military-affiliated students, ensuring that VA educational benefits are processed accurately and on time.
  • Maintain in-depth knowledge of federal regulations and reporting requirements for military and veteran educational benefits, ensuring compliance with all applicable laws.
  • Assist military-affiliated students with the VA certification process, helping to resolve any issues related to benefit eligibility or certification status.
  • Collaborate with military student organizations and veteran services to enhance the experience for military-affiliated students.
  • Customer Service and Communication (10%)

  • Provide exceptional customer service to students, families, and internal departments, promptly and professionally addressing financial questions and concerns.
  • Develop effective communication strategies to inform students about their financial stipends.
  • Foster a customer-focused culture within the Enrollment Services Department, ensuring all staff deliver high-quality service to students and other stakeholders.
  • Qualifications :

  • Education : Bachelor’s degree from an accredited college or university.
  • Experience : in financial services, higher education, or a related field.
  • Skills :

  • Knowledgeable of VA certification processes, FERPA regulations, and other compliance requirements.
  • Proficiency in using financial systems, student information software, and other relevant tools.
  • Excellent analytical, organizational, and communication skills, with the ability to manage multiple tasks and deadlines.
  • Strong attention to detail and problem-solving abilities.
  • Preferred Qualifications :

  • Experience managing military education benefits and financial aid systems.
  • Leadership experience in a higher education setting.
  • Familiarity with stipend administration and student financial services processes.
  • Ability to work collaboratively with cross-functional teams to improve processes and enhance student satisfaction.
