Description
General Description : The Coordinator, Financial Aid, shares responsibility for administering federal, state, Department of Veterans Affairs (VA), and College financial aid programs. The Coordinator of Financial Aid performs a variety of complex administrative tasks related to reviewing and processing financial aid; performing veterans benefits certifications, counseling and advising students on various aid opportunities; reviewing, researching, and resolving report, system, and student account discrepancies; and utilizing multiple software programs to process applications and files. All work is performed under the general supervision of the Executive Director, Financial Aid.

Essential Job Duties :
- Serve as primary contact for all student financial aid inquiries. Create, send, and respond to correspondence relating to financial aid, veterans benefits processes, or scholarship programs.
- Counsel and advise students concerning financial aid and VA opportunities, application processes, and financial management strategies. Educates students in identifying various sources of financial aid and scholarships available, including the requirements and regulations within programs.
- Provide ongoing student counseling services regarding the implications of loan debt via ongoing financial education seminars, a newsletter disseminated once per semester and exit counseling to prepare students for repayment.
- Maintains and reviews student files and requests documents needed from the students to complete their financial aid and veterans benefits files.
- Analyze and determine eligibility and awards financial aid applicants utilizing various software packages. This procedure includes processing applications and corrections, documenting tracking, engaging in verification, and generating tracking and award notifications. Assists with general reporting and maintenance of financial aid databases as required.
- Oversee the financial aid appeal process, including collecting appeal submissions, disseminating packets to the committee, tracking votes, calculating final decisions, communicating outcomes to students, recording documents, updating the appeal tracking spreadsheet, and reinstating financial aid for approvals. Reviews all active appeals to ensure students are meeting the conditions of those appeals. Adjust the Satisfactory Academic Process (SAP) status as necessary.
- Maintain a thorough knowledge of Federal Student Aid, State of Florida, VA, and institutional regulations, policies, and procedures. Works strategically to ensure the College's ongoing compliance with these rules.
- Serve as the secondary VA School Certifying Official (SCO) and serves as a contact for communicating and reporting student enrollment status, performance, and other requested information to the VA. Use the VA-Once and Tungsten systems to complete certifications. Works under the guidance of the primary SCO in all VA matters.
- Conduct financial aid and veterans benefits workshops on and off campus.
- Oversee the Federal Work-Study / Florida Work Experience programs processes, including student announcements, recruiting, application processing, placement tracking, time reporting, and Excel record-keeping. Assign tasks to the work-study student assigned to the Key West Financial Aid department.
- Oversee the Unusual Enrollment History (UEH) processes by receiving and tracking the Department of Education alerts, reviewing students' enrollment history via transcript reviews and federal portals (FSA Partner Connect), coordinating student communications, and determining aid eligibility based on results.
- Monitor individual students as they enter repayment to engage them in default prevention activities to mitigate potential default risk. Monitors default activity of former students through the National Student Loan Data System (NSLDS), placing transcript holds as appropriate.
- Aid the Financial Aid Assistant Director with applying State of Florida aid programs and the Office of Student Financial Assistance (OSFA) reporting.
- Review refund reports ensuring accuracy. Reviews void for non-payment reports.
- Monitor all financial aid forms for accuracy and ease of use. Updates forms on at least an annual basis.
- Assist in College recruitment and retention efforts, as needed.
