The Provost’s Office is seeking a talented, optimistic, detail-oriented, and energetic colleague to support the Provost and three Deans, ensuring effective operations and functions. The Office Coordinator and Research Assistant will manage the schedules of the Provost and Deans, plan and execute events and programs for the Provost’s Office, and undertake complex projects with superior attention to detail. The Office Coordinator and Research Assistant will have demonstrated excellent written and spoken communications skills as well as diplomacy, tact, and strong professional judgment. The Office Coordinator and Research Assistant will handle confidential and sensitive information as part of the Provost’s Office team, and will work collaboratively with colleagues and partners to ensure effective support and timely action.
Major Areas of Responsibility
Administrative and Operational Support for the Provost & Deans
- Provides direct administrative support to the Provost as well as the Dean of Faculty, Dean of Faculty Development, and Dean of Education & Academic Experience including:
- manages schedules and calendars for the Provost & Deans, working collaboratively with colleagues;
- plans and executes events on behalf of the Provost & Deans, working collaboratively with colleagues;
- event planning may include: preparing agendas and materials, arranging rooms and refreshments; coordinating with campus partners; preparing communications and publicity materials and distributing them through appropriate channels, and other duties necessary to operate successful events.
- prepares daily plans, to-do lists and other productivity aids to support the Provost and the Deans, often managing sensitive and confidential information as an executive assistant
- handles communications with internal and external audiences with professionalism, precision, and care, using excellent written and spoken communication skills and approaching such interactions with optimism and energy.
Research Assistance
- Provides research and project support to the Provost as well as the Dean of Faculty, Dean of Faculty Development, and Dean of Education & Academic Experience including:
- Conduct benchmarking studies and literature reviews to support research initiatives.
- Perform data analysis and manage datasets to ensure accuracy and integrity.
- Synthesize and summarize research findings to inform project development and decision-making.
- Act as lead for operational special projects, including execution from planning to completion.
- Utilized project management tools and methodologies to coordinate tasks and track progress.

Minimum Qualifications
- Bachelor’s Degree required.
- demonstrated success working in a professional role, ideally within higher education or a similar field.
- demonstrable proficiency with technologies including: Google Suite, Zoom Suite, project management and productivity platforms.
- demonstrable proficiency with professional correspondence, report preparation, proofreading and copyediting, financial record keeping, information management.
- event planning experience preferred.
