POSITION & BENEFITS:
Job Title: Executive Assistant to the Superintendent
Reports to: Superintendent
Bargaining Group: Non-Represented Position
FLSA Status: Non-Exempt
Position: 260 Day Contract (Year-Round), 8 Hours per day between the hours of 7:00-5:00 (To be determined by supervisor).
Salary: $28.11 - $35.53 per hour
Anticipated Start Date: 07/01/2025

Job Purpose: Focusing on kids and their learning by supporting the Superintendent and school board.
Major Function:
Serve as a confidential assistant to the Superintendent, handling key administrative and operational tasks. Work independently within established laws, rules, and procedures, using knowledge of the school system’s organization, programs, and goals to complete daily responsibilities. The Superintendent provides direction and collaborates with the employee on administrative and technical matters as needed.
Required knowledge and skills:
- High school diploma or its equivalent (GED);
- Knowledge and experience with secretarial procedures;
- Knowledge with integrating technology into job results;
- Skill to manage timelines and meet deadlines;
- Skill to support multiple administrators;
- Public Relations skills;
- Quality Communication Skills with the ability to communicate with various stakeholders;
- Skill to manage multiple tasks and projects.
- Skills to makes decisions based on established procedures and practices and handles administrative details independently;
- Self-Directed and able to work without direct supervision
Preferred knowledge and skills:
- Student Information Systems experience
- Experience working in a school setting
- College certification, degree
- Experience working with school Student Information Systems
- Knowledge of District Policies & Procedures
- Biliterate in English and Spanish
Essential Job Results:
Maintain the District Office by:
- Reporting regularly to the superintendent any developments or issues within the school system which may require the Superintendent’s awareness or action;
- Serving as a liaison between the Superintendent and staff, departments, school board, community, businesses;
- Establishing and maintaining effective relationships with the public, media, and officials;
- Oversee district student attendance and discipline data and records for district, state and federal compliance;
- Creating Purchase Orders to send to vendors for ordering;
- Utilizing technology devices and applications in maintaining the Office of the Superintendent;
- Planning for School Board meetings, including preparation of Agenda and compilation of pertinent material for distribution to Board members, staff, and media;
- Coordinating meetings, conferences, engagements, and appointments for the Superintendent;
- Attending Board and Executive meetings, as assigned, to gain knowledge of issues, projects, and plans of the Superintendent and to follow through on all requests; recommended and approved by the Superintendent;
- Preparing school board minutes and reports and ensuring compliance with state and federal laws;
- Researching, compiling, and supporting the implementation of collective bargaining data, language, and processes;
- Assist in the creation of district bargaining proposals and records of bargaining;
- Receiving, screening, sorting, and distributing correspondence;
- Receiving and screening calls and answering inquiries;
- Compiling data from a wide variety of sources for the purpose of, making recommendations, and/or preparing information for Consolidated Program Review
- Maintaining, reviewing and updating and posting school district policies and procedures;
- Maintaining the District’s Web Page and social media updates;
- Maintaining confidential files and records of office correspondence, documents, reports and other material, to include personnel records, for the Superintendent;
- Maintaining reports and documentation for reporting for federal programs;
- Maintaining documentation for State data and compliance reviews;
- Approving public facility rental requests;
- Approving of public posters and flyers;
- Performing related work as required and assigned
Maintain the Student Information System by:
- Attending Student Data Leadership Meetings for SIS System (Skyward);
- Ensuring correct Student data is reporting to the state accurately through the CEDARS state reporting system.
- Supporting districtwide implementation and use of the system.
Support Building secretaries by:
- Leading and contributing to school secretaries and office procedures;
- Creating and implementing school office processes;
- Providing support to secretarial staff regarding Skyward year start and year end reporting and configuring;
- Holding regular secretarial meetings;
- Supporting choice transfer and home school requests;
- Supporting enrollment reporting to the state;
- Supporting Kindergarten Round up;
- Supporting Registration Fair;
- Preparing Skyward for online registration.
- Support District Office results by maintaining a basic knowledge of responsibilities of other positions within the District Office to maintain services should key personnel be unavailable.
- Serve individuals by answering questions, scheduling appointments, and facilitating needs of District patrons and administrators.
- Maintain financial security by following internal accounting controls.
- Acknowledges the importance of safety by maintaining a safe and orderly working environment and following safe work practices.
- Protect the District by keeping information confidential.
- Maintain technical knowledge by attending educational training.
- Contribute to team efforts by accomplishing related results as needed or requested by District Administration.
