Your Role On Our Team:
Under the guidance of the Corporate Regional Manager, you’ll be responsible for overseeing the day-to-day operations of the property. This includes managing the general administration and maintenance of the facilities, coordinating with staff and resources to ensure the property remains in great condition, and ensuring the financial operations run smoothly. You'll also help maintain a healthy occupancy rate for the complex.
What You’ll Be Doing:
- Oversee the upkeep of the property and work to maximize its value in line with the owner’s goals.
- Support and guide the training and development of all team members, ensuring quality work from everyone on your team.
- Make sure residents enjoy a clean, safe, and well-maintained community.
- Handle any resident or management concerns, ensuring smooth resolution.
- Address residents' ADA requests in a timely and professional manner.
- Ensure all policies and procedures are followed according to both company and government guidelines.
- Provide reports and updates to the Corporate Office as requested.
- Manage routine and capital expenditures to keep operations running smoothly.
- Report accidents and emergencies immediately to the Corporate Office and submit the necessary reports.
- Take on special projects and administrative tasks as needed.
- Follow all company guidelines and procedures as outlined in the manual.
- Suggest staff training and development opportunities to improve skills and knowledge.
- Handle legal matters related to the property, including Rent Court and evictions, and work directly with Legal Counsel to represent the property in court.
Key Responsibilities:
A. Property Maintenance
- Conduct regular property inspections (grounds, hallways, interiors, basements).
- Recommend and oversee necessary repairs and improvements.
- Establish short- and long-term property enhancement goals.
- Approve expenditures up to $500.
- Ensure vacant units are move-in ready.
- Address maintenance requests promptly and communicate delays.
- Collaborate with the Maintenance Superintendent for seamless operations.
- Enforce workplace safety standards.
B. Marketing & Leasing
- Supervise leasing staff and Office Account Manager.
- Develop and implement marketing strategies with the Corporate Regional Manager.
- Conduct market analyses to maintain a competitive edge.
- Approve rental applications and leases in compliance with fair housing laws.
- Conduct new tenant orientations and oversee move-ins/outs.
- Optimize marketing and leasing initiatives.
- Provide occupancy and turnover reports as needed.
C. Rent Management
- Build and maintain strong resident relationships.
- Enforce rent collection policies and manage delinquencies.
- Oversee lease renewals, terminations, and evictions.
- Represent the property in court as necessary.
- Handle resident concerns regarding payments and lease agreements.
- Recommend rent adjustments when appropriate.
D. Financial Oversight
- Assist in budget development and maintain financial compliance.
- Monitor budget performance and report discrepancies.
- Approve invoices and ensure correct account coding.
- Provide reports on accounts receivable and bad debt.
- Oversee inventory management for equipment and supplies.
- Identify cost-saving and efficiency-improving opportunities.
E. Administration
- Maintain organized property records and files.
- Manage correspondence and liaise with external professionals.
- Approve and submit payroll.
F. Personnel Management
- Handle hiring, training, and termination of employees per company policies.
- Conduct staff performance evaluations with the Corporate Regional Manager.
- Train leasing staff in fair housing laws.
- Coordinate with the Maintenance Superintendent for staffing needs.
- Communicate payroll changes to the payroll department.
G. Inspections
- Conduct all internal and external property and unit inspections.
H. Resident Engagement
- Develop and organize community programs and activities.
Qualifications
- HS or High School Equivalent and at least three years of property management experience.
- Strong financial knowledge, including bookkeeping and budgeting.
- Administrative experience with attention to detail.
- Professional appearance and demeanor.
- Clear, accurate record-keeping and legible handwriting.
- Excellent verbal and written communication skills.
- Ability to complete tasks efficiently and professionally.
- Flexible schedule, including some weekends during seasonal apartment turnover periods
- Valid driver’s license.
- Smoke-free position.
- Willingness to travel if required.
