JOB PURPOSEOffice of Technology
Under occasional supervision, performs duties to support effective and efficient operations of the Department of Technology. Performs accurate and efficient bookkeeping and technology purchasing duties. Performs routine administrative support and technical duties to support the needs of the department. Retrieves data to generate reports and analyze data. Performs related work as required. Reports to the Director of Technology.
ESSENTIAL JOB FUNCTIONS

Performs routine administrative and office tasks including answering the main telephone; provides accurate information to callers; greets office visitors; performs customer service duties; provides secretarial duties. Performs other routine office duties, including but not limited to, processing daily mail, manages office calendars, sends and receives emails, copies and files documents, etc. Operates a variety of equipment, which include a computer, printer, copier, fax machine, telephone, calculator, laminator and small hand tools.
Answers user inquiries regarding computer software and hardware operation or routes to appropriate department personnel.
Receives and responds to inquiries, requests for assistance, concerns and complaints for the department.
Ability to effectively manage multiple projects with high accuracy, in a timely manner and with minimum supervision.
Prepares reports and correspondence, enters and retrieves computer data, generates reports, prepares meeting materials.
Proficient in researching and compiling data, creating and maintaining spreadsheets and other computer reports, with high accuracy related to data entry.
Provides direct secretarial support to the Director of Technology.
Serves as the Department of Technology’s bookkeeper and performs all duties of a Colleton County School District Bookkeeper.
Generates purchase orders, manages procurement card, submits invoices for payment, completes reimbursement forms, and transfers funds when necessary while maintaining accurate budget and account information.
Processes purchases for all district technology equipment, software and related supplies and services.
Follows local, state and federal procurement guidelines related to technology purchases. Obtains quotes, manages bids, creates RFP documents, and maintains knowledge for utilization of state contacts as needed.
Assists Director with participation in the Federal E-rate program by working with vendors, making purchases following federal Erate program guidelines and submitting required documents.
Compiles data for and prepares the Department of Technology’s annual budget.
Maintains accurate and up-to-date vendor records; communicates with vendors as needed to obtain pricing and availability information, expedite orders and resolve billing discrepancies. Coordinates all returns/exchanges of equipment.
Performs all department operations regarding ordering, receiving, and inventorying of technology items.
Maintains software license agreements between contracted vendors and CCSD for all district software.
Maintains basic knowledge of technology equipment, components, cables and parts used in the district in order to maintain an inventory of technical supplies.
Maintains the overall operation of Colleton County School District’s technology equipment inventory and asset management. Affixes asset tags to equipment, maintains inventory records for all technology devices and equipment using current software. Performs asset verification.
Sign out and collect technology devices for district staff use.
Coordinates removal of obsolete equipment from service and processes disposal.
Provides timely and professional user support and ensure proper follow-up.
Assigns district user credentials for the State Department web portal and District Identity Management program
Supports District email system for individual users and mailing lists.
Maintains employee user accounts across numerous platforms
Move, set up and arrange computer equipment as needed both in the office or other district location.
Prepares reports, training materials, technical documentation, and various other records, reports, memos, correspondence as needed. Communicate technical information to appropriate CCSD personnel
Interacts and communicates with various groups and individuals such as the immediate supervisor, coworkers, other district administrators and staff, school administrators and staff, vendors, service providers, and the general public.
Performs other related duties that the Director of Technology deems appropriate.

QUALIFICATIONS
A minimum of three years of relevant experience with the equivalent combination of education, training, and experience that provide the required knowledge, skills and abilities to perform required job duties.
Must be highly detail-oriented with the ability to manage daily activities and projects, while under pressure, with accuracy and responsiveness.
Possess effective problem solving, multi-tasking and troubleshooting skills.
Ability to provide excellent customer service in a professional manner face to face and by telephone.
Must have excellent oral and written communication skills.
Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
Computer proficiency required, including demonstrated mastery in use of Microsoft Word and Excel, as well as the ability to enter, access, retrieve and review data from a variety of sources.
Ability to read and understand a variety of administrative and technical documents and reports.
Must have a basic understanding of all technology components used in an educational setting and willing to learn as necessary.
Ability to take the initiative to complete the duties of the position without the need of direct supervision.
Has the ability to plan, organize and prioritize daily assignments and work activities. Has good organizational, technical and human relations skills.
Ability to move technology equipment weighing up to 25 pounds.
Purchasing and bookkeeping experience is a plus.
Must possess a valid SC driver's license
