Collier Law is seeking a highly organized Executive Assistant to provide comprehensive support to our management team. The ideal candidate will manage a variety of administrative responsibilities, including calendar management, coordination of appointments, and assisting with other office-related tasks. This role requires a detail-oriented individual with strong communication and excellent problem solving skills.
Primary Responsibilities:
- Executive Calendar Management: Manage and maintain executive schedules, including registering for conferences/events, scheduling appointments, coordinating events, and updating appointment changes.
- Material Preparation: Prepare documents and other materials for conferences, board meetings, and various executive events. Assist with special projects as needed.
- Deadline Management: Manage executive deadlines to ensure timely task completion.
- Communication & Correspondence: Prepare, edit, and send correspondence, communications, presentations, and other documents.
- Office Supply Management: Monitor and maintain office supplies, checking inventory throughout the month to ensure adequate stock.
- Other tasks as needed.
Office Management Support Functions:
- Office Organization: Ensure proper organization and maintenance of office supplies and equipment.
- Attorney Support: Assist attorney(s) in managing their schedules and ensuring they remain on track with appointments and deadlines.
Minimum Qualifications:
- High school diploma or equivalent.
- Proven experience as a personal assistant, executive assistant, or in a similar administrative role.
- High degree of professionalism and discretion.
- Strong decision-making and problem-solving skills.
- Excellent written and oral communication.
- Ability to manage multiple deadlines and prioritize tasks effectively.
- Exceptional attention to detail and organizational skills.
This position is 36-40 hours a week, Monday through Thursday. The ideal candidate is seeking a stable, long-term position with a firm that values a healthy work/life balance.
