What are the responsibilities and job description for the Document Control Specialist position at Colliers Engineering & Design?
Colliers Engineering & Design is seeking a Document Control Specialist to develop, prepare and/or maintain documentation pertaining to business processes, systems operation, and other technical processes. Researches, reviews and collects various corporate and technical information as the basis for documents and forms. The Document Specialist creates new documentation or updates existing documentation to accurately reflect changes in process or procedures to ensure corporate compliance.
Responsibilities
- Assist in the development of documentation procedure, working with the Knowledge, Workplace Services and Development Teams to create the document lifecycle process.
- Administrative support of Templafy.
- Create or oversee the creation of documents, document elements and/or forms and assess the accuracy of the documents. After the documents are checked for completeness, have them added to the document lifecycle system according to an indexing structure.
- Organize documents from conception to distribution and filing including storing, managing, and maintaining company documents, while ensuring the accuracy and quality of them.
- Scan documents or images that are developed by others to organize and maintain them, adhering to the company's document procedures. Any inactive documents and records are then archived.
- Process existing documents for revision and approval as needed.
- Assist in the review existing documentation for duplications and assist to develop and maintain company standards.
- Assist in developing documentation on the process that can then be used to train staff on document control processes.
- Perform other duties as requested.
Qualifications
- Education: High School Diploma.
- Experience: 5 years of experience in a corporate function managing information.
- Microsoft Office Certification.
- Microsoft Word and Excel, advanced level of proficiency.
